Job Description

Job Purpose

The business operations analyst will provide a supporting role across the Business Operations team.  Working with Project, Network, Support, Security, Infrastructure, Cloud and End User Computing Teams with IT Services.  The role will be responsible for meeting preparation, note taking and follow up of actions. Maintenance of Project Pipeline tracker; capturing project proposals, outcomes and presenting data in different formats. Recording and tracking Project updates and maintaining project templates and other business operation functions including communication on new starters, updating IT Service Organisation charts, distribution lists and assisting/generating common business processes using MS products.


Key Responsibilities

* Responsibility for the preparation/planning of monthly Governance meetings
* Attendance at Governance meetings and including preparation, minute taking, producing action notes, circulation, and action chasing.
* Maintaining Governance templates; all project life-cycle templates, meeting templates, and upholding business processes
* Liaising with project requesters to ensure all requirements are fully captured.
* Recording/tracking of Projects or Programmes progress from commencement to completion; liaising with Project Managers to ensure updates are timely.
* Oversee completion of a weekly project report summary and publish via email.
* Weekly maintenance of Project Pipeline tracker; capturing project proposals and outcomes and presenting this data in different formats for the SLT, including both in MS Excel, and the Celoxis Project Management tool.
* Responsibility for liaising with SLT and updating the Group IT Organisation Chart in MS PowerPoint
* Responsible for maintaining Group IT Mail distribution list in MS Excel
* Publish New Starter welcome announcements via MS Outlook.
* Ad hoc Task analysis using MS Excel, creation of templates and assisting in developing any other common business processes using MS products when required.

Skills & Experience

* Degree or certificate level demonstrating a knowledge or understanding of responsibilities outlined above.
* Excellent communication and soft skills with the ability to clearly articulate messages to a variety of audiences
* Analytical mind-set, attention to detail and good problem-solving skills is a must.
* Strong organisational and time management skills plus ability to multi-task and work under pressure.
* Detail oriented and able to cross-check and ensure accuracy.
* Must be a team player and able to work collaboratively with, and through others.
* Has the ability to effectively escalate and ask for help.
* Self-motivated, pro-active and able to work independently with minimal supervision.
* Results driven with ability to prioritise appropriately using sound business judgment.
* Proficient in Microsoft Office (Word, Excel, PowerPoint and Outlook)
