About The Role:
The Business Operations & Governance Lead will work in the Group IT function where they will lead, develop and manage a team that focuses on delivering varied IT projects & programmes for the Organisation.
The Business Operations & Governance Lead will define and maintain best practice project standards across the Group IT function. They will be responsible for maintaining and documenting project status and strategy in one place. The team will also be responsible for managing people and risks for the whole Group IT function with accountability sitting with this role.
Key Areas of Responsibilities:
Project Governance – maintains a project governance framework to ensure there is a structured approach to govern all Group IT led projects. This involves various stakeholders like team members, project managers, project sponsors, business owners and suppliers. The purpose of the governance structure is to ensure that:
* The projects are prioritized and aligned to the short- and long-term strategy of the business
* The right people have access to the right information to make the right decisions
* The projects are staying within the planned tolerances (time, budget, scope etc.)
* Group IT resources are utilized in the most efficient manner
* There are ongoing risk assessments and mitigation across all projects
Management Reporting - centralises information and delivers it to the right stakeholders that enables the Group IT leadership team makes informed and timely decisions for the success of the project portfolio. Management reporting should include:
* Overall progress and health of projects
* Status of milestones and deliverables across the portfolio
* Financial information about the budget, forecast and actuals etc.
* Project risks and progress on mitigating these risks
* Operational efficiency against project performance
* Effective management and utilization of Group IT resources
Project Prioritisation – Working with the IT leadership team to ensure that the programmes and projects that Group IT are working on are aligned to operational and strategic objectives. This means that Projects are selected and prioritized as per the business strategy, resources are allocated and utilized in line with the project pipeline.
Resource Management & Forecasting– Ensuring that the right resources are allocated to the right project at the right time. Ensuring visibility of resource capacity, competency, and availability for all stakeholders.
People Management – Successfully leads a team of people, focusing on their Performance Management and Learning & Developing as well as responsibility for Staff planning to include recruitment and onboarding across the Group IT function.
Relationship Building – Builds trust and confidence with executive leadership when dealing with complex projects and/or issues. Collaborates with and influences internal groups to ensure projects are effectively staffed and resourced to deliver the best outcome.
Job Specific Responsibilities:
Business Operations & Governance Lead Responsibilities include, but are not limited to:
* Collaborating with other business functions to define, prioritize, and develop projects.
* Analysing financial data, including project budgets, risks, and resource allocation.
* Providing financial reports and budget plans to Executives.
* Drafting new and improving existing governance policies and processes.
* Maintaining and developing new Project Templates
* Continuously evaluating projects to ensure they are meeting Group IT standards, adhering to budgets, and meeting deadlines.
* Maintaining Group IT risk register.
* Overseeing recruitment and onboarding across Group IT
Requirements:
* 10+ years’ experience in IT industry
* Prince 2 Project Management certification (or equivalent) at Practitioner level
* Experience of business planning & financial forecasting.
* Experience in line managing, leading and mentoring a team.
* Experience in overseeing the successful delivery of a portfolio of projects and business functions roadmaps of change.
