Key Job Accountabilities:

Takes responsibility for the administrative follow-up of CEO office's activities.

  • Organizes and coordinates line manager's activities.
  • Logistic support to internal and external meetings.
  • Gathers, communicates, and dispatches information based on manager’s requirement.
  • As line manager’s backup to handle delicate and unexpected situations and facilitates the resolution of ongoing problems.
  • Provide support of all administrative and technical assistance.
  • If necessary, works in partnership and shares some of his/her assistantship activities with another assistant.
  • Other work assigned by line manager.

Daily operational job includes:

  • CEO office itinerary & logistics support; CEO office car & drivers management;

  • Support office daily maintenance;

  • Daily Meeting support: reservation meeting room, check meeting room in well condition, order F&B; meeting equipment set up, etc;

  • Support line manager, coordinating with business division VP’s assistant for the global top management visit;

  • Collecting contracts for line manager to review.

  • Keep office stationery, products storage in order;

  • CEO office filing and archiving.

  • Support cost controlling, purchase order management for line manager.

Requirement:

  • Graduated from top-notch university domestic or overseas.
  • At least 2~3 years successful experience as assistant supporting a senior person. Therefore, a good feel of how to manage an executive’s time (e.g. prioritizing meetings) and how to collaborate with different stakeholders (e.g. extra careful with more senior stakeholders, can move meetings with more junior stakeholders)
  • Attention to detail, e.g. making sure there are no problems in calendar and arranging logistics (e.g. double checking a hotel is booked or flight is on time), ensuring high-quality output (e.g. important e-mails/letters)
  • Excellent English communication skills, so can coordinate with stakeholders abroad
  • Good at office software (Outlook, Excel, Word, PowerPoint) and write e-mails or edit PPTs in high quality.
  • Good communication and problem-solving skills.

  • Trustworthy and reliable for strong sense of responsibility and carefulness.
  • Reachable, e.g. respond by WeChat when needed
  • Personality with resilience, patience and meticulousness.
