Job Description (Roles and Responsibilities)

This is a unique opportunity to hold a crucial position at the heart of the fast-paced UK-China energy relationship at a time when China is undertaking a series of fundamental and complex reforms across its energy system. The successful candidate will provide administrative support to the Embassy’s Energy Policy Team, liaise with key PRC and UK stakeholders including government departments, researchers, and businesses, and help with the coordination for the cross-China UK Energy Network.

This position requires a highly motivated and self-starting individual with strong organisational and influencing skills and the ability to communicate persuasively in written and oral English and Chinese.

The job holder will be responsible for:

  • Supporting delivery of high impact visits for UK and Chinese ministers and officials, including the annual Ministerial UK-China Energy Dialogue, including by: arranging visit programmes for official visitors; booking hotels, travel and interpreters; liaising between visitors and Chinese contacts; working with policy leads to agree programmes for Chinese officials and ministers visiting the UK.
  • Providing administrative support for team members, including by: arranging travel and meetings; issuing invitations and coordinating attendance of external contacts for official Embassy events, building relationships and liaising with contacts in government, academia and industry.
  • Analysing and communicating important policy, political and market developments in China to contacts in the UK and China, including drafting and issuing weekly policy announcement updates and a monthly newsletter for the team, as well as ad hoc reporting on key policy and industry developments.
  • Supporting the cross-China UK Energy Network, including by: managing joint mailing lists and organising shared filing systems, managing contact lists and stakeholder mapping, supporting team leader in managing and forecasting budgets, and supporting delivery of network-wide events such as team away days, joint learning and development sessions.

  • Excellent organisational skills and attention to detail
  • Good interpersonal and communication skills
  • Self-motivation and initiative, and ability to work independently and as part of a team
  • Adaptability and ability to prioritise multiple tasks
  • Good Microsoft Office skills, especially Outlook, Word, Excel and Powerpoint
  • Highly proficient in English and Chinese

  • Previous experience of administrative work in a busy team environment

We offer a competitive package, which includes basic salary, good leave entitlement, and insurance plan, etc. The gross salary (before all deductions) is CNY 10,548 month for Chinese Nationals and an abated monthly salary of CNY 14,776/ month for British Nationals and spouses/ partners (all nationalities) of diplomats who are ‘W’ (diplomatic) visa holders and meet passport criteria.

We also offer excellent development opportunities and a 22-day annual leave entitlement in pro rata.

Conditioned working hours is 35 hours/ week from Monday to Friday. Flexible working is possible so long as core hours are observed and / or by separate agreement with the Minister Counsellor.
