We have a new and exciting opportunity to hire a China Medical Safety Assistant, for our China Cross Sector Safety team here at Beijing office.


Job Purpose and Scope:


Provide administrative support to the China Cross Sector Safety team in order to fulfil the responsibility for the coordination and execution of assigned Pharmacovigilance (PV) activities across the Pharmaceutical and Consumer sector to ensure that all of Johnson & Johnson’s statutory and ethical responsibilities are met.

Core Job Responsibilities:


Administrative support for China Cross Sector Safety Head:

  • Organize and schedule meetings and appointments
  • Maintain contact lists
  • Produce and distribute correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Provide general support to visitors
  • Provide information by answering questions and requests
  • Research and creates presentations
  • Generate reports
  • Handle multiple projects co-ordination and tracking
  • Contribute to team effort by accomplishing related results as needed
  • Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Organize travel arrangements
  • Write letters and emails on behalf of other office staff
  • Book conference calls, rooms, taxis, couriers, hotels etc.
  • Maintain computer and manual filing systems
  • Handle sensitive information in a confidential manner
  • Take accurate minutes of meetings
  • Reply to email, telephone or face to face enquiries
  • Photocopy and print out documents on behalf of other colleagues
  • Any other work as assigned by manager or senior leaders
  • Perform a wide variety of administrative supports for Dept. Head and Dept.
  • Organize departmental meetings/activities with business initiative and creative approach, support to ensure the action points are taken
  • Support to track all key projects and participate projects management whenever it is needed
  • Organize team sharepoint /one note/ public folder to facilitate information sharing and support improving efficiency
  • Provide administrative support to PV compliance process and training, coordinate the implementation with high efficiency
  • Produce correspondence; presentations, meeting agendas, emails, administrative approvals and any external mailings
  • To assist Dept head to build up good working relationship with key stakeholders and IPV community
  • Handle highly confidential and sensitive information with good format


Qualifications


Experience, Skills and Knowledge:


  • Proven admin or assistant experience
  • University qualification a must
  • Knowledge of office management systems and procedures
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills

  • Excellent command of written and spoken English
  • At least 2-3+ years of working experience in MNC, pharm industry will be a plus

  • Proficient Chinese in listening, speaking and writing
  • High level of confidentiality requested
  • Willing to take increased responsibilities through conscious and proactive learning and development
