Colleague Services Manager

The Colleague Services team is responsible for providing a safe and pleasant environment for all of its 700 plus colleagues and concession members.  Accommodations include 12 residence buildings, 1 leased apartment building and 13 Condominiums. We are seeking a dynamic outgoing individual with strong communication and organizational skills.  Reporting to the General Manager Colleagues Services, this position will be responsible for the daily operations of our residences, our Colleagues Services center and the effective leadership of 16 colleagues and leaders.  As an active member of the team, the position will be responsible for ensuring that all colleagues are provided with safe accommodation and healthy lifestyle options.

Summary of Responsibilities:

  • Provide leadership, career development, coaching, and performance management of the Assistant Managers, Lifestyles Coordinator, Food and Beverage managers and Colleague Services colleagues
  • Partake in weekly and biweekly meetings with Assistant Colleague Services Manager, Lifestyles Manager as well as representatives from the Maintenance and Security Departments.
  • Liaise with Talent and Culture, Maintenance, Security, Food and Beverage and Executive members therefore maintaining good rapport and a continued high level of communication, to ensure support and assistance is obtained as required
  • Ensure residence preventative maintenance program is implemented through completion of  bi-weekly building walkthroughs
  • Ensure quality of units and supplied furniture and fixtures are maintained
  • Effectively assess the requirements of our tenants and our physical structures in regards to ongoing needs as well as short and long term Capital needs, plan and submit yearly operating and capital budgets
  • Be creative in seeking solutions to a myriad of opportunities and concerns that may arise on a daily basis from residents. Effectively communicate with all residents
  • Assist the General Manager in the management of expenses and control of assets, overall oversee Colleague Services Budget
  • Liaise with Regional Purchasing Manager for supplies and new purchases
  • Communicate, administer and enforce policies and procedures outlined in Colleague Housing Handbook & Contract with all residents
  • Respond to daily security reports, and meet with residents, administer sanctions up to and including evictions
  • Track requirements pertaining to Leased Accommodations such as Home Insurance, Pet policy and late rent for all tenants
  • Oversee the management of daily accounting procedures that include; rent deductions for residence and leased accommodation, including Concession tenants, sale of furniture and fixtures, associated costs for damages, administrative payments and colleague activity functions
  • Oversee the management of uniforms
  • Liaise with the Food and Beverage team to ensure the colleagues grocery store and restaurant have the proper levels of supervision and service.
  • Provide a high level of colleague satisfaction through effective communication and counseling
  • Compliance with all safety regulations of assigned tasks, and ensure a clean and safe working environment with active participation in the hotel health and safety program
  • Departmental payroll administration
  • Other reasonable duties as assigned

Qualifications:

  • Prior experience with property management, housing administration, human resources, security  and/or building maintenance a definite asset
  • Prior experience in Food and Beverage an asset
  • Mature, enthusiastic and energetic with proven abilities to resolve issues
  • Proven leadership experience is essential
  • Must be able to work in a fast paced environment and able to manage constant change
  • Ability to effectively manage challenging situations; balancing empathy with assertiveness
  • Must be flexible and able to handle a variety of tasks
  • Must be detail oriented, highly organized and be a self directed person motivated by challenge
  • Proven oral and written communication skills
  • Computer literate of with MS Word, Excel, Outlook and internet required
  • Experience with HR Manager, Rent Manager and Adaco (purchase requisition system) an asset
  • Acute knowledge of Alberta’s Residential Tenancy Act, Employment Standards and Labor laws an asset

 

Physical Aspects of Position:

 

  • Occasional physically demanding duties in residence and outdoors - encompassing standing, walking, bending & lifting (25kg)
