What you will be doing:

Reporting to the Director, Conference Services, responsibilities and essential job functions include but are not limited to the following: 

  • Consistently offer professional, friendly and engaging service
  • Main Focus : Co-ordinate mid-size to large conference groups from receiving contract from Sales to execution of the event  including event requirements, guest room requirements, guest room pickup, food & beverage, audio visual, spa and golf.
  •  Confirm all event related information with clients and produce the BEO’s and Resume for the group
  • Establish and maintain rapport with clients, prior to, during and post conference
  • Create floor plans as appropriate for each event to ensure banquets and clients are in agreement prior to set up
  • Initiate billing procedures, ensuring any deposits are received with adequate information and within an acceptable time frame
  • Conduct test meals with clients to confirm all relevant details are communicated
  • Conduct and/or attend daily meetings to review Banquet Event Orders (BEOs) and ensure last minute changes are communicated with appropriate departments
  • Attend weekly resume meetings
  • Follow departmental policies and procedures
  • Other duties as assigned

 

Your experience and skills include:

  • Computer literate in Microsoft Office applications required, experience with Sales & Catering or PM software is preferred
  • Previous experience in a luxury hotel operations in Conference Services is required
  • Previous experience in Event Planning is preferred
  • University/College degree/diploma in a related discipline preferred
  • Highly responsible & reliable, ability to work independently
  • Excellent interpersonal skills, with strong written and verbal communication abilities
  • Ability to focus attention on guest needs, while remaining calm and courteous at all times
  • Results oriented with the ability to be flexible, work under pressure and be accountable to make sound & thoughtful business decisions
  • Extremely well organized individual with the aptitude to handle numerous tasks at one time
  • Proactive and innovate with the ability to work cohesively as part of a team
  • Systematic problem solver with a strong eye for detail, a sense of urgency and the ability to prioritize
