This role is a member of the Customer Enablement team within the GBS – Global Assurance & Reporting Services business unit. As a Contract Specialist, you are responsible to handle technical aspects of systems, tools and processes related to external funding (e.g., medical education grants, sponsorships, donations and contributions) and/or external contract-to-pay requests. As a successful candidate, you will conduct operational tasks to ensure compliant processing of requests in accordance with policies, procedures, regulations and transparency/disclosure reporting requirements.
Responsibilities:
- Review and ensure completeness of incoming external funding and/or EE contract-to-pay applications and requests.
- Coordinate triaging of requests to appropriate reviewer and business area. Provide guidance to ensure appropriate approvals are obtained and retained.
- Perform preliminary reviews to ensure AZ does not contract with any individual or entity that is debarred, excluded or restricted for any other reason to do business with AZ.
- Ensure timely receipt of executed LOAs/contracts prior to the program start date and coordinate with requests provider for changes to LOAs/contracts.
- Responsible for capturing the data elements to ensure adherence to physician payment reporting requirements and country requirements.
- Ensure accurate and timely distribution of payments and collaborate with Accounts Payable to resolve payment related issues. Responsible for providing purchasing support related to management of associated payments.
- Monitor and support the day-to-day processing functions including issue handling, communications and resolution. Consult and escalate compliance, legal or regulatory matters.
- Collaborate with internal partners to mitigate compliance risks associated with assigned activities and maintain all documentation in files within the relevant system.
- Assists in determination on completeness and accuracy of records and maintenance of up-to-date documentation to support risk mitigation efforts.
- Maintain high level of external customer satisfaction.
- Assume and perform other duties not specifically outlined herein, but which are logically and properly inherent to the position.
Requirements:
- You have a Bachelor's Degree in a Finance, Business or related field.
- At least 5 years of working experience and preferable in pharmaceutical or healthcare industry.
- Proficient in English and Japanese language (writing, speaking and reading).
- Sound technical and systems skills (e.g., ERP, SAP, Excel, SharePoint, etc.)
- Fast learner, agile and ability handle multiple priorities. Ability to work independently and adjust workload as business needs require.
- Strong attention to detail and organizational skills.
- Experience working with cross-functional teams and demonstrated ability to partner effectively with others.
- Familiar with finance, auditing, quality assurance/control, SOX and/or risk management.
- Minimum business travel for initial project transition and working on flexible hours (if require).
