It is temporary position for 9 months, to back up the colleague who is on maternity leave.
Position Summary:
Performs daily Administrative operations
- Provide secretarial support to Sr. Director, Rockport Sourcing
Responsibilities
Provide excellent secretarial support to Sr. Director, Rockport Sourcing
Routine work, eg: filing, expense report, etc
PowerPoint presentation
Trip arrangement (Business, vacation, etc)
Car arrangement
Arrangement of Video Conference
Maintains the office premises, fixtures and fittings at a high standard of decoration and efficiency.
Ensures that office safety and fire prevention issues are always given priority. Raises any concerns with the management.
Daily reception work
Office stationery purchasing and office maintenance
Company car coordination
Assists in arranging working permits, visas for expatriate staff.
Updates visitor’s schedule and arranges car pick up accordingly.
Assists travelers in visa application, invitation letter, hotel reservation and air ticket booking.
Arranges daily courier pickup and follow-up.
Petty cash management / T&E budget setting and follow
Organize company functions. e.g. annual dinner, team outing
Ad hoc projects
Notes: Responsibilities and functions may require adjustment during the period of employment along with evolving business needs.
Required Knowledge, Skills, Abilities?
- ? 3-4 years experience in Administration preferably in multinational environment.
- Good command of PC skills (MS Office, PowerPoint, Internet)
- Good communication skills
- Detail oriented
