Job Description
Purpose of the position
- Prepare competitive, top quality proposals in response to RFQs/RFIs/RFPs received from customers in close cooperation with Bid owner, Sales representative, Products, ISP’s, Corporate / Regional Country Tender Management Teams enabling business wins
- Support the Country Tender Manager for larger, more complex bid / tender requests
- Take ownership, lead and manage assigned bid / tender requests
- Ensure the on time submission of the completed bid / tender request
- Ensure correctness of quoted rates
Key Tasks
- Take ownership and drive the preparation of competitive, top quality proposals in response to RFQs/RFIs/RFPs received from customers in close cooperation with Bid owner, Sales representative, Products, ISP’s, Corporate / Regional Country Tender Management Teams enabling business wins
- Mange the entire process which includes the development of response format/pricing matrix/responding to queries as well as timely submission of RFI, RFP and RFQ to customers / bid owners
- Analyze tenders and recommend optimum business solutions by creative thinking
- Ability to read, interpret, and analyze RFI and RFQ document in a timely manner
- Is responsible to coordinate relevant ISPs to analyze customer credit worthiness, financial and liability issues from a legal and finance perspective
- Analyze assigned bid / tender requests and allocate tasks including responsibility and timelines to internal stakeholders. Responsible for the review and validation of information and quotes received from the internal stakeholders
- Benchmark rates with similar quotations provided for other bid / tenders to evaluate its correctness and to increase the chance of business wins
- Double check the correctness of quoted rates and avoid any manual mistakes
- Accountable and responsible for a high quality of the proposal and complete submission before the deadline given
- Cross check work to avoid manual mistakes before submission
- Provide a quality proposal to the assigned bid owner and/or Corporate TM for validation and submission to the client
- Ensure post bid analysis to be performed by bid owners for all bids, both successful and unsuccessful tenders. Ensure received tender feedback is shared with relevant functions in the organization and PAC TM for bid tracking
- Support market intelligence on competitors pricing, capabilities, facilities, client base, products and services for competition analysis
- Understand the logistics and supply chain requirements of the different industries
- Support and maintain pricing database of transportation rates logistics/distribution rates
- Maintain tender data profiling and records, including the update of monthly bid log and status of the tender (e.g. pending, completed, win/lost)
- Update rate database, bid templates and supporting documents / information for RFI and RFP’s which can be used for different bid/tender requests
- Adherence to Panalpina’s global Tender Management methodology and procedures including related tools and documents
- Take personal accountability for achieving individual and shared goals, pushes self and others to achieve and exceed results
- Provide recommendations to the Country Tender Manager in regards to improve the setup, structure, procedures, efficiency, required capacities, budget, etc. for the general tender management process

Functional Knowledge
- In depth functional know-how in air / ocean / logistics / value added service
- Deep understanding of the requirements on the Supply Chain of the different customer industries
- Professional market knowledge (customers, air and ocean freight rates/services)
- Strong knowledge on different rate components, pricing levels and calculation methodologies
- Understanding of operational forwarding processes
- Deep understanding of Panalpina strategy and products

Educational background / Work experience
- Higher educational level (business administration or logistics/forwarding)
- Knowledge on pricing methodologies and basic finance
- Minimum 3 years working experience, ideally in an international environment within the forwarding/supply chain management industry (air, ocean freight and logistics)
Language skills
- Fluent in English and local language (oral and written skills)
Computer Literacy
- Excellent know-how of Microsoft Office (Excel, PowerPoint and Word)
