Responsibilities:

Reporting to the Executive Chef, responsibilities and essential job functions include but are not limited to the following:

Maintain complete knowledge of all food & beverage services & outlets, hotel services/features and hours of operation.

Maintain complete knowledge of and comply with all hotel and departmental policies and procedures.

Answer telephone calls within 3 rings, using correct salutations and telephone etiquette.

Handle inquiry and according to departmental procedure. Handle telephone calls for Food & Beverage Dept., answers all queries regarding the F&B in house menu and printing.

Handle guest complains by following instant pacification procedures ensuring guest satisfaction.

Provide administrative support and prepare business communications for Executive Chef and assists kitchen leaders when necessary and time allows.

Create and maintain filing systems for departmental records, reports, etc.

Formulates SOP/process briefs as requested/directed by the Executive Chef.

Handles special tasks as assigned by the Executive Chef (e.g. Special promotions, menus and programs in the outlets & kitchens, etc.) .

Prepare regular departmental reports as assigned.

Coordinate travel arrangements, hotel reservations as required by the Executive Chef.

Document and maintain appointment calendar for Executive Chef as required.

Attend designated meetings. (I.e. F&B Meeting/F&B Promotions Meeting). Take minutes & distribute as directed.

Maintain office and stationery supplies for the F&B department.

Responsible for preparing the monthly timesheet for F&B administration.

Filing of daily Night Audit Reports or logbooks.

Record expenses for all areas (Daily tracking of expenses and Purchase Orders).

Codes all purchases requests Prepares critique on a monthly basis, directed by Executive Chef.

Ensure completion of vacation schedules/ management schedules.

Maintain F&B share drive as directed.

Other tasks as assigned.


Qualifications:

Has to be able to handle confidential information appropriately.

Ability to handle multiple tasks simultaneously.

Ability to prioritize responsibilities.

Ability to resolve situations involving guest challenges.

Excellent knowledge of Microsoft Word, Excel, Power point and internet usage.

Must be fluent in Chinese.

English as a second language an asset.
