Job Description
Take the lead in assisting Transferees to identify suitable properties within their stated parameters by selecting property shortlists and manage Primacy Relocation Consultants to deliver the service. Once a property selection is made, negotiate the lease agreement on behalf of the customer and follow through the leasing paperwork and move-in arrangements. Manage Client relationship through daily contact and responding to Client requests.
To meet and guide Transferees in choosing property and settling into life in China including housing tours, area familiarization tours, school visits, and settling in services.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

 Transferee counseling – Via telephone and email assist the Operations Manager to counsel the customer on the services we will assist with. Prepare information pack and present to Transferee. Provides solutions to any questions the Transferee and their family may have. Educates Transferee
 Data entry– Input all Transferee information into Matrix and concluded transactions related information into the Corporate databases. Maintain records on an ongoing basis by updating data as appropriate. Update the property database with new listings and edit current listings as appropriate. (Will implement in the near future)
 Temporary Accommodation Booking - Assist to reserve the listed Service Apartment based on the understanding of assignee’s need.
Service apartment availability/price check, rental negotiation if needed. Reservation form preparation, delivery, signature and system upload.
 Orientation Schedule – Based on customer’s requirements create an Orientation Schedule and send to the client for their approval. Advise Transferees on daily lifestyle issues in the new country, property options, school differences, neighborhoods, and give opinions how these do and do not fit the Transferees’ requirements. Take Transferees out on area familiarization tours, property inspections, and school visits.
 Property Viewing Listings – Based on customer’s requirements review property listings and put together a viewing schedule of approximately 0-30 properties. Make appointments with Landlords/Agents. Help Transferees to select short list of preferred properties.
 Schools & Clubs - Counsel assignee on first contact of the existing school situation i.e. available placements, provide pertinent information on the different international schools, including curriculum, teaching styles, classes offered and provide school packages and applications as requested, provide general details on relevant schools, advise on what the Expatriate needs to bring from their home country in terms of documentation to get enrolled in International schools (i.e. transcripts, immunization records). Locate suitable schooling (including those for special needs), arrange for school tours/interviews and accompany the family, assist with follow up of all paperwork for school registration, where necessary and assist family in arranging for additional immunizations as required. Accompany the Transferee to visit schools Primacy will also arrange appointments and accompany the Transferee and family on school visits (typically three to four visits per family) and follow up on school applications.
 Lease Negotiations & Documentation – Once a property is selected, to document details of Transferee requirements on lease start dates, furniture choices, property repairs, and other additional items. Negotiate lease agreements with Landlords of the selected properties. Ensure that the customer receives a market price and standard lease conditions. Review lease agreements to ensure that the tenant is protected and counsel tenant on the terms and conditions of the lease. Arrange for lease to be printed, signed and chopped by both parties and registered.
 Rental Payment Coordination – Upon lease signed, coordinate the issue of debit note from landlord and ensure the accuracy, submit to tenant for payment processing
 Move-In – Check the property prior to move in date. Attend the check in day with a member of the tenancy management team. Ensure Administration Assistant/Relocation Consultants arrange utility connection in time for customer move-in. Ensure property is ready on time.
 Immigration service support - Temporary Residence Registration Form application in local police station. Collecting related documents for such application with Immigration specialist. Be accompanied with clients for Medical check
 Settling In Services - Perform settling in for Transferees to help them settle down in their property. This could include shopping or advise on social and cultural activities. Continue follow up the issues after move-in of the property until all outstanding is resolved
 Lease Renewals - Negotiate lease renewal agreements with Landlords for customers and ensure that the Tenant receives a market price.
 Ongoing Tenancy Management – Deal with landlord and management office to resolve house related repair and maintenance issues timely, respond and update customers regularly until problems are resolved. Ongoing coordination of rental payment and collection of fapiao, monitor and arrange utility payment and fapiao (for certain locations)
 Utilities – Liaise with Transferee and Management Office to ensure the Utility arrangement is set up upon the lease commencement,, answer Transferee’s questions and arrange for the connection or disconnection upon checkout from the properties of all utilities at the Transferees property which should include electricity, water, gas, telephone, internet and TV options. Update the utility questionnaire whenever new information is received.
 Departure – Upon initiation, serve house and car lease termination. Work with transferee families to identify timelines for permits cancellation, shipment packing (not required for all clients), Prior to march-out inspection of properties in the effort to recover any damage if possible to ensure lease deposit is refund in a reasonable time frame after final handover. Accompanied handover with transferees and landlords, follow up with final outstanding bills if any as well as deposit refund. Arrange temporary accommodation if required by customers
 Files and Reporting – Responsible to file key milestone communications, signed lease hard copies, lease support document (landlord identities, ownership certificate, etc) Ensure weekly matrix update for ongoing cases so that activity report could be generated in a timely manner.
 Ad Hoc Task – Willing to work on different tasks assigned by Company when required, e.g. market research for different or remote locations that require in house efforts rather than going out.

EDUCATION/EXPERIENCE REQUIREMENTS:
• Bachelor’s degree or equivalent.
• Minimum of two years’ related business experience in the customer service, relocation, real estate or international industry.
