Purpose of position

BSI has a suite of tools, including BSI Intranet, My Site, Project Sites, Business Management System (BMS), WebEx, Skype for Business, and recently launched Office 365 collaboration tools that allows employees to collaborate and communicate with each other. As Digital Workplace Executive you will work with other members within the team and the wider Group IT teams, in the implementation and continuous development of these key internal tools and to provide BSI employees with second level support to these tools,

The primary purpose of the role is to provide day to day support for the Intranet, and all of the tools that fall under the DW as well as being the point of contact for all DW tools queries from colleagues. This will involve working closely with business functions including HR, Finance, Marketing, Operations, IT, etc., and regional divisions to create pages, review content on the Intranet and look at opportunities to share information and collaborate, provide assistance with trouble-shooting issues to DW tools and conduct Intranet training sessions.

Key Responsibilities & Accountabilities

Support

  • Be the primary contact for first and second line user support, answering technical calls from BSI users offering assistance and solutions to all of the Digital Workplace tools
  • Act as a go-to support contact for business functions and regional divisions to advocate continuous development of all Digital Workplace tools
  • Plan and deliver training sessions for users of the BSI Digital Workplace tools and offer continuous support
  • Support in the training and QA phases when upgrades to SharePoint Online/CMS is underway
  • Manage the support incidents with SharePoint partner and act as the contact between the agency and BSI IT teams

Intranet

  • Support colleagues (content owners, project site owners) to develop and manage the Intranet. Work proactively with content owners to promote consistent practice for information management, to facilitate networking and information exchange and skill-sharing
  • Implement the policies and procedures which are followed by using a user-centric design for the BSI Intranet
  • Liaise with colleagues in IT, HR, Finance, Marketing, Internal Communications, business streams and regional divisions to deliver Intranet pages
  • Create pages for the BSI Intranet and Project Sites as requested
  • Grant editing permissions for new users of the BSI Intranet
  • Plan and create content to engage BSI Intranet page editors

Reporting

  • Organise and circulate monthly and fortnightly team reports to necessary stakeholders and Group IT senior leadership team members
  • Analyse support call trends, look for opportunities of support calls and provide monthly statistics to relevant stakeholders
  • Participate in the Digital Workplace Steering Group meetings and wider team meetings

Knowledge/Skills/Abilities

  • Experience using SharePoint 2016 and Online essential
  • Office 365 tools experience essential, in particular Teams and Yammer
  • Web and audio-conferencing tools experience essential
  • Experience of working with company Intranets
  • PowerShell experience an advantage
  • Knowledge of Cloud-based technologies an advantage
  • Proven project management experience
  • Experience of working with external agencies
  • Effective communication skills
  • Ability to work with a remote team
  • Diplomatic and collaborative approach to team working
  • Knowledge of collaborative communication tools
  • Exposure to social media deployed in the workplace
