The Mt. Vernon site was established in 1972 and is the flagship site delivering innovative, life changing oral solid medicines. At the site we formulate and pack OSD tablets, capsules, powders and liquids to over 60+ markets. The Mt Vernon site is the largest AZ production site in the US and is located in the southwest corner of the state of Indiana, approximately 15 miles from Evansville, Indiana – the third largest city in the state of Indiana. The Distribution Coordinator and Foreign Trade Zone Administrator (FTZ) is responsible for coordinating third party and intercompany for export as well as domestic shipments and serves as the point of contact for customer inquiries or issues. They collaborate with freight forwarders, Customs Brokers, and vendors to ensure imported goods are delivered on time and in compliance with government agencies.

What you’ll do:

  • Possess an in-depth knowledge of customer order fulfillment, inventory, shipping, and receiving requirements. Serves as the point of contact for customers who have inquiries or issues related to order processing, new account setup, damage claims, and inventory availability; coordinates resolution of issues/inquiries.
  • Maintains all aspects of order processing management and performs varied and sophisticated transactions including: SAP transactions, APO, GST (serialization), invoicing, month-end closings, debits, credits, consignment inventory reconciliation, redeployments, and returns.
  • Recognizes anomalies in customer orders and order patterns and proactively investigates for clarification. Works closely with the Supply Planner to resolve issues or concerns.
  • Collaborates with Supply Planners in the communication of purchase order promise dates to the Market, Quality, Shipping Organizations, and all other departments that impact release and shipment of products to facilitate site alignment.
  • Prepares and/or obtains appropriate documentation (i.e. commercial invoices, packing lists, COAs, export/import permits, etc.) to support shipment. Works with the appropriate departments to ensure order is picked and packed for shipment to ensure timely delivery. Works with freight forwarders to ensure equipment is available to ship product.
  • Trains new Distribution Coordinators or serves as backup for other Distribution Coordinators for extended periods (i.e., vacations). Serves as subject matter expert (SME) regarding coordination of third party and intercompany shipments for export. Executes work in compliance with cGMPs, site policies, work instructions, and standard operating procedures (SOPs).
  • Responsible for the tracking and reporting of department metrics and KPIs.

        Foreign Trade Zone Administrator (FTZ) Designee (as applicable):

  • Provides import documents, invoices, etc. to Customs Broker as needed to ensure timely Customs entry/release. Advises Broker when shipments need to move in bond for FTZ admissions. Requests Custom Broker of needed corrections as required.
  • Previews invoice from shipper to ensure mandatory criteria are present. Ensures proper values are listed on invoice for Customs purpose. Monitors Customs release and FDA release of all entries. Performs post entry; reviews all Customs entries for accuracy, including items removed from FTZ. Forwards Customs release and FDA status to Receiving for all imported goods and FDA status.
  • Maintains FTZ Hold bin – removing items once cleared. Maintains Customs entry logs and records as required. Manages day-to-day transactional operations of FTZ, including admissions and Customs/FDA entries and corresponding payments due.
  • Maintains Integration Point material masters. Runs Integration Point software daily, tracking FTZ material transactions. Alerts Production of transactional errors. Notifies Quality and Receiving of items Customs and FDA released from FTZ. Performs quarterly DECLARED VALUE confirmations of all entries.
  • Prepares annual reconciliation report of FTZ activity and submits to Customs. Prepares annual FTZ Board Report and submits to FTZ Grantee. Manages TIB/IFE entries. Ensures Importer Self-Assessment Program compliance by completing post entry checklist of all Customs entries.
  • Responsible for the tracking and reporting of department metrics and KPIs.

Required:

  • Bachelor’s degree in a technical, supply chain, or business management subject area preferred; or equivalent work experience and minimum of 4 years combined experience in Supply Chain field (such as Production Planning, Scheduling, Logistics, and Inventory Control), Manufacturing, and/or Finance.
  • Ability to learn new systems and processes. Experienced in SAP. Excellent customer service, problem solving, organizational, and communication (written and verbal) skills is required.
  • Experience working with international markets preferred. Attention to detail and ability to operate in a self-directed team environment with minimal direction is critical to this role.
  • Ability to work and communicate within a global, culturally diverse, fast-paced, team environment with the ability to adapt to changing business needs.
  • Demonstrated knowledge of regulatory requirements, policies/procedures, documentation practices, and/or previous experience operating in a cGMP environment.

Preferred:

  • Considered a subject matter expert (SME) with regard to ordering, invoicing, and shipping processes. Demonstrated experience in resolving system set-up issues, order discrepancies, invoice discrepancies, and order inquiries.
  • Proficiency in computerized production and inventory control systems (SAP) required, including basic navigation, reporting, system functionality, and data mining.
  • Experience in working with Foreign Trade Zones, Customs, or FDA.
