Job Description

Operational:

  • Manage day to day activities (Complaints, Returns, Expediting) with all relevant stakeholders.
  • Proactive issue resolution. Highlighting early risk of supply to the market in case any.
  • Reporting monthly sales figures based on order fulfillment to the MC.
  • Organizing meetings & providing weekly updates to MC.
  • To ensure the OTIF targets are met for the market.
  • Ensure compliance in line with AstraZeneca policies.

Inventory Management:

  • Create and monitor stock coverage list. Timely sharing of the inventory report with the MC.
  • Assure sufficient supply availability (Inbound and Outbound) in close collaboration with supply site, the LSP and Commercial.
  • Liaise with demand & supply team to determine stock levels for order fulfilment.
  • Address short shelf life issues and drive liquidation plan with the Marketing Company and customers.
  • Periodical checking of the inventory levels at the hub against customer firm order.
  • Flag low inventory level to DP & MCAM in advance, to take possible corrective action.
  • In cases of SKUs already at the hub that are not suitable to market, communicate information to the LSP DM to block batches to avoid any case of wrong allocation & dispatch.
  • Timely sharing of inventory report with the MCAM for discussion with MC on the liquidation plan for SKUs with high inventory level.

Customer Service & Order fulfilment:

  • Plan and manage for shipping of customer orders and co-ordinate timely deliveries to customers.
  • Maintain up to date records of all the firm orders entered in the portal by the customers, including status updates. Liaising with MC incase customer firm orders are not reflected within the agreed timelines.
  • Verify the correctness of the order entered, and in case of discrepancy, liaise with MC to correct records.
  • Follow up for pre shipment requirement (Letter of Credits, IDF, Form M) with customers to ensure that  the documents are available in advance of the agreed dispatch month.
  • Coordinate with Genpact to have the sales orders released from credit block status. Incase of CFO approval needed liaise with MC to acquire that to release orders for further processing.
  • Co-ordinating with site team to ensure that the customer orders are allocated & packed as per lead time.
  • Arrange with the shipping team & freight forwarder to plan routes and process shipments.
  • Check the accuracy of the shipping documents, request amendments where applicable & ensure the customer receives documents with no errors.
  • Check month end invoicing activities are completed on time & in accordance with the targets agreed.
  • Address customer complaints and resolve issue in a timely manner. Respond to adhoc queries. Taking ownership of customer’s issues and following problems through to resolution. Defining clear mission and deploying strategies focused towards that mission.
  • Manage temperature excursion complaints, raise GCMs & report feedback and final decision to customer.
  • Investigate any claims raised by the customers on damages, shortages, excesses.
  • Attending an participating in S&OP Meeting representing distribution. Highlight operational challenges and proposed solutions.

Project Management & Lean Champion

  • Setting up regular meetings with go-live market customers to ensure that the onboarding activities are undertaken in a timely manner.
  • Ensure that all one time set up activities prior to go- live of new customers  introduced in SSA are completed before the go-live date. (RRA , Market Instructions & Temperature profile set up )
  • Developing service procedures, policies and standards. Analyzing statistics and compiling accurate reports.
  • Support of NPIs and Projects
  • Assure timely reporting according to global/regional requirements
  • Share Good Practice and support LEAN initiatives

Stakeholder Management:

  • Manage local LSP according to the “Supplier Management Framework”.
  • Ensure SLAs and RACI with relevant stakeholders are in place.
  • Monitors key performance indicators, identifying and addressing issues as appropriate and directing the delivery of process and operational enhancements to increase effectiveness of the logistic provision.

Compliance:

  • Ensures that all actions are compliant with all relevant local legal requirements, such as GDP, Safety, Customs, Health authorities, Regulatory, Financial Controls & Personal rights.  
  • Ensures that all actions fulfil all relevant AZ compliance requirements (DoA, BCP, IRM, RRA, GDP).
  • Conduct activities and interactions consistent with Company values and in compliance with the Code of Conduct and supporting Policies and Standards relevant to the role.
  • Complete all required training on time
  • Report proactively potential issues of non-compliance (AZ Standards, Quality, SHE).

  • Ensure and monitor compliance by team members and third parties by (a) positively reinforcing the Code of Conduct and all relevant AstraZeneca Policies and Standards, (b) ensuring completion of all required training, (c) fostering a culture of openness in which employees are comfortable raising questions or concerns, and (d) immediately addressing and reporting, as appropriate, instances of non-compliance.

Non-negotiable requirements and Responsibilities

1. Experience in Logistics / Distribution / Supply Chain with understanding of import, export, freight and customs documentation.
2. SAP knowledge and experience.
3. Preferable to have experience in pharmaceutical industry.
4. Experience of working with Distributors and wholesalers

5. Bachelor's degree in Logistics / Supply Chain or equivalent
