Job Description

As a Document assistant your primary role will be to service Viking’s customers in the most efficient way. The role will require you to take care of Vikings interests as well ensuring that the customers’ requirements are fulfilled. The daily work has to be carried out in close cooperation and coordination with the respective inside sales persons, customer service and the sales executives responsible for the various customers. Areas of responsibility include, but are not limited to:


  • Creating approval, working and final drawing documentation for orders and quotations. This both goes for electronic and hardcopy format.


  • Where needed, gathering Document of Conformity for goods delivered and send to customers.

  • Making sure the drawing documentation is packed and send to customers in due time according to contractual agreements and that proper tracking is made on the dispatch of the documentation.


  • Ensuring electronic and easy accessible filing of documentation send to all projects. Either on server or in SAP or other system in use.


  • Ensuring that original certificates for goods delivered are filled and separated in order easily to see which certificate can be released to customers (payment is received).


  • Responsible of reporting to customers and agents about the status of documentation preparation and shipping/tracking of documentation.


  • Making sure all documentation (data sheets, drawings, certificates, user manuals/instructions) in the sales documentation system (SDS) is updated with latest versions and that expired documentation is replaced.


  • Ensuring that the quality of the documentation used is of a high standard and that documentation for new items entering into the portfolio is available.


  • If need, creating VIKING’s own documentation with for products in the portfolio.


You are expected to conduct business in a manner, which enhances the image of VIKING as a premium brand of high integrity and reliability.


You are also expected to show willingness to learn both from members within the Sales Team and members from other parts of the organization and you are expected to be a team player and have a positive, ‘can do’, professional and helpful attitude towards colleagues and customers.
