ETBC Divisional Co-ordinator

Slough, UK

We’re looking for someone who can co-ordinate our European Treasury & Benefits Centre, working in an efficient and effective way supporting in all administration and optimising process management through adopting technological and digital solutions.

What are we looking for?

  • You will already have some knowledge of working with and managing Benefits (pension, life assurance, disability, group income protection and healthcare).
  • You will have a keen interest in keeping IT skills up to date.
  • You will be an accomplished communicator and have a competent level of numeracy.
  • You will be self-motivated with the ability to prioritise multiple tasks and problem solve.
  • You will be comfortable managing sensitive and confidential information.

What would be your key responsibilities?

  • You will co-ordinate and manage all administrative areas for the UK ETBC Team including all internal and external meetings and events, visitors and new starter orientation, desk moves and equipment, Health & Safety representative, and IT support.
  • You will manage GDPR governance, including maintaining access and controls for physical and electronic data stores.
  • You will co-ordinate all areas of Pension and Healthcare Trustee management including meeting timetables, preparing digital meeting packs, supporting with Trustee onboarding, managing Trustee training logs and conflict of interest logs, monitoring Mars Pension inbox, managing Discretions process, managing SD Worx payroll, running annual and repeated processes, and supporting on UK Benefits projects as needed.
  • You will own and manage the administration budget and ensure invoices are paid, managing any issues and errors.
  • You will work with the UK Benefits Manager to understand the scope and intentions of each area and then take responsibility for managing this.  You will be actively working with a range of external technical suppliers and many other Mars functions (payroll, P&O, Rewards, S&F).  You will need to have the self-confidence, authority and communication skills to ensure the appropriate engagement and buy in from others.
