Engineering Administrative Assistant / Coordinator
You are a multi-tasker and are able to work independently, performing a wide range of complex and confidential administrative duties to support your team. You communicate well with all contacts, anticipate and resolve issues, and update the team on the various projects.

What you will be doing:
- Perform all purchase orders, coordinate with accounting, purchasing and suppliers
- Assist in managing efficiently a maintenance and repair program for the hotel
- Participate in assigning daily tasks, while prioritizing projects
- Ensure effective communication within the department and with other departments in the hotel
- Maintain appropriate equipment operating log
- Coordinate cleaning and maintenance of engineering equipment
- Coordinate service repairs for office equipment ensuring minimal costs
- Obtain purchase order bids
- Ensure execution of repair orders and preventive maintenance program
- Dispatch work orders received, monitor completion, and update tracking system
- Ensure that financial reporting and billing are accurate
- Process purchase orders, invoices for payment, and accruals for month-end.
- Ensure timely ordering and maintain adequate par stock of supplies and tools
- Anticipate guests’ needs, respond promptly and acknowledge all guests, however busy and whatever time of day
- Resolve guest complaints, ensuring guest satisfaction
- Prepare daily/weekly departmental payroll records, and document employee tardiness/absenteeism
- Attend designated meetings, take minutes, transcribe and distribute.
- Coordinates status of all rooms with Housekeeping and Front Desk.
- Maintain confidentiality and security of specified hotel information, correspondence, reports and files.
- Other duties as assigned
Your experience and skills include:
- High school graduate or equivalent vocational training certificate
- 2 years of administrative experience an asset
- Understanding of hotel maintenance and engineering operations an asset
- Previous experience with Microsoft Office Applications
- Previous experience with ordering and inventory
- Knowledge of month-end reporting processes and invoicing
- Able to work effectively as part of a team and also with minimal supervision.
- Proven ability to work well under pressure and manage multiple tasks simultaneously
- Excellent communication and organizational skills
- Strong interpersonal and problem solving abilities
- Highly responsible & reliable
Physical aspects of the position include but are not limited to:
- Endure various physical movements throughout the work areas
- Standing, walking and/or sitting for long periods of time depending on the daily tasks
- Exert physical effort in carrying items (up to 40 pounds)
- Frequent lifting, kneeling, pushing, and pulling
- Occasional ascending or descending ladders, stairs and ramps
Visa Requirements: Must be legally eligible to work in the United States. The hotel is unable to assist candidates in obtaining work authorization documents.
