Engineering Office Manager

What you will be doing:
- Preparation of all purchase requisitions
- Placing orders with suppliers
- Ensuring materials are received and stocked properly
- Preparation and maintenance of service contracts and open purchase orders
- Processing all invoices for payment with appropriate budget code
- Liase with accounting department to ensure invoices paid in a timely manner
- Preparation of monthly expenses spreadsheet
- Preparation of monthly accurals in accordance with accounting guidelines
- Ensure accurals are reversed and cleared the following month
- Assist in budget preparation for department
- Ensure all expenses are on track and do not exceed budget
- Complete daily payroll for all engineering staff (union and non-union) on Dayforce system
- Reconcilliation of major payroll, every fortnight prior to submission to accounting
- Maintain record of attendance of all Engineering staff
- Maintain record of vacation for all Engineering staff
- Preparation of all sick/personal days for salaried and unionized staff
- Maintain personal files for all staff
- Completion of accident reports
- Follow up with medical centre/Human Resources on all employees on LTD/sick
- Preparation of shift operator schedule to ensure all shifts are covered
- Liase with Royal Service (telephone operator) Department
- Preparation of all AFE's and maintaining captial project files
- Ensure purchase orders are made for all approved AFE's
- Processing of all capital project invoices for payment
- Updating capital list
- Ensuring calls received in the office are passed to appropriate staff/managers
- Coordinating and handling of all Christmas decorations for hotel
- Other duties as assigned
Your experience and skills include:
- Minimum 3 years' experience in administration
- Must haev a solid knowledge of Accounts Payable procedures and payroll
- Skill in use of computers and software programs associated with Property Operations
- Experience in Maintenance, Technical, or Construction Fields preferred
- Excellent communications and interpersonal skills
- Strong level od initiative is required
Physical Aspects of Position (included but not limited to):
- Frequent sitting throughout shift
- Occasional lifting and carrying up to 20 lbs
- Occasional kneeling, pushing, pulling, lifting
