Event Execution Manager
The conference concierge position acts as a personal service ambassador and liaison between the meeting planner and the various hotel departments.

Summary of Responsibilities:
Reporting to the Director of Banquets responsibilities and essential job functions include but are not limited to the following:
- Provide warm, sincere and engaging service
- Ensure that Fairmont is a proactive partner in the seamless execution of the meeting organizers program
- Builds a personal rapport with the meeting planner in order to identify their needs and expectations
- Consistent presence on the floor for ease of availability should last minute situations arise or assistant be required for the meeting planner or guests
- Acts on behalf of the Conference Services Manager on the floor, ensuring that their promise of service excellence is being delivered
- Anticipate and resolve any problems quickly by communicating with appropriate departments
- Liaison between all departments to ensure proper flow through of communication to ensure efficient daily operation
- Cover operations in the absence of a Banquet manager
- Review group resume and event orders in preparation for pre-con to familiarize with event details and anticipate any challenges
- Summarize job responsibilities and discuss contact details (phone, email, scheduling) with onsite meeting planners; yet also be aware of whom to contact if Conference Concierge is unavailable
- Ensure event orders are accurate in regards to agenda, set-up, timing, flow and F&B
- Inspect function rooms prior to start of event to ensure accurate setups, audio visual requirements, lighting, temperature, internet and phone lines
- Attend all applicable operational & communications meetings
- Daily briefings with Banquets and Conference Services to review event orders, staffing, wins and challenges that may have occurred during the shift to ensure future success
- Coordinate all received & shipped parcels/convention materials. Ensure all materials are delivered to the meeting planner as per their instructions and arrange shipment details prior to their departure
- Ensure banquet checks are reviewed and signed by meeting planner daily (or as per their specifications with accounting)
- Manage function room keys for client
- Present at weekly BEO meetings ensuring questions are being asked to ensure seamless flow
- Support Office Coordinator or team with BEO’s, floorplans etc as required
- Assist meeting planner with other duties as required (i.e. photocopying, human arrow, help with hand-outs)
