Responsibilities

Event Development & Management
  • Manage the Events Services Group budget to minimize costs and maximize revenue for the division, whilst maintaining quality and increasing branding
  • Forward planning of future conferences and opportunities including content and agenda development
  • Topic Research to determine the commercial viability of conference ideas for the team
  • Creation and management IDC China annual event calendar
  • Maintain and develop external relations with key suppliers and clients to negotiate contracts and nurture business networks
  • Onsite event management of speakers and venue
  • Achieve event registration numbers and maintain reporting

Sponsor Liaison Management
  • Develop the event welcome kit
  • Confirm event speakers for IDC sponsored events
  • Provide communication network with sponsors on event registrations, logistics, set up times etc.
  • Provide sponsors with a post event report/meeting to run through event results
  • Onsite event management of speakers and venue
  • Source external expert speakers to present at IDC events


Knowledge Sharing
  • Maintenance of an events competitor database
  • Maintain and responsibilities for database updating strategy
  • Coordination with Sales on SFDC
  • Progress reports to relevant stakeholders on each event


Event Marketing
  • Coordinate with Marketing and/or external agencies to develop event marketing material
  • Develop and work with Sales and/or other groups in IDC on events
  • Develop and maintain an effective media relations program and acting as the main contact point for creating and distributing local press releases, handling media inquiries, pitching for media interviews and editorial write-up

Venue and supplier liaison
  • Manage and negotiate venue and vendor relationships
Media & Association Partnerships
  • Aim is to secure an association partnership for each sponsored event.
  • Generate extra registrations for events through association partnerships

Qualifications

  • 3-5 years of event/conference experience
  • Provide strategic and creative input on new event initiatives
  • Assist with developing a strategy for showcasing our partners, sponsors and exhibitors on-site.
  • Be responsible for flawless execution of agreed-upon sponsor/partner/speaker elements at on-site.
  • Liaise with Partnerships coordinator to be across exhibitors, speakers and to be able to report on numbers and their on-site activities.
  • To support the partnerships coordinator to provide the correct information to exhibitors and speakers
  • Advertising, interviewing and training crew for all events.
  • Liaising with Sales team in the lead in to the event
  • Evaluation of staffing needs and on-site crew management
  • Strong work ethics; able to work in a fast-paced and highly demanding environment.
  • With enthusiastic and grounded personality; able to communicate easily with team members and client users managing various touchpoints while keeping a positive attitude
  • Independent and resourceful team player; supports all other team members, the team’s outcomes and the company’s mission
  • Financially savvy; able to budget and advise on financial viability of an event produced
  • Flexible to accommodate last minute changes but with very strong attention to detail to maintain consistent, top-quality work performance.
  • Computer literate ideally including experience using Salesforce, Cvent or other CRM systems
