Under the general guidance and supervision of the Director of Events and Assistant Director of Events, in coordination with the Director of Business Development, the Events Sales Manager implements all sales activities in his/her area of responsibility
1.Liaises closely with Sales Team in proposing the best deal when handling leads /inquiries (pricing strategy, special requirements) passed over, in order to convert the leads / inquiries to confirmed event.
2.Prepares proposals / contracts for leads / inquiries received from Sales Managers.
3.Follows through from negotiation until departure for events assigned.
4.Liaises with clients on finalising details and gives professional advice on set-ups and planning of events.
5.Practices up-selling at all opportunities to maximise revenue.
6.Ensures effective communication with clients and internal departments.
7.Responsible for the dissemination of groups related information to other departments e.g. issues Banquet Event Orders, Group Resumes and chairs pre-event meeting.
8.Maintains close co-ordination with respective departments on organisers’ requirements and last minute event requirements.
9.Be visible to organisers and clients during their event/group dates and monitors guest satisfaction.
10.Oversees the operation of banquet functions and works closely with various departments to ensure quality service is delivered to our clients at all times.
11.Regularly reviews Master A/C postings to ensure postings are correctly done. Reviews bills with organizers regularly so as to eliminate adjustments needed on final invoice.
12.Maintains close communication with concerned Sales Manager during the process.
13.Involves concerned Sales Manager during post-event meeting and post-event follow up such as sending Thank you letter & Post-Event Critique forms together.
14.Verifies total charges and layout of invoices prepared by Accounts Receivable and sends out to organisers.
15.Obtains feedback from clients and follows through with the necessary actions .
16.Refers leads and sends Events Profile information to relevant sister hotels or NSO/ISO (if any).
17.Maintains the active Events Profile Database & Group Chart.
18.Establishes and maintains files of major accounts and assists the Banquet Sales Manager in maintaining the Accounts Management System.
19.Establishes good working relationship with internal customers (other departments of the hotel) and external customers (clients, events contractors, suppliers).
20.Actively participates in achieving the departmental goals which contribute to Marketing budget.
21.Closely monitors accounts revenue and business production.
22.Provides feed-back on market trends and keep updated with client relationships and overall business goals through close communication with Assistant Director of Events and Director of Events.
23.Maximises up-selling opportunities whenever possible.
24.Assists the Director of Events in the forecasting of group room nights and banquet revenue.
25.Arranges relationship building visitations when necessary.
26.Cross-sells other Hilton Hotels.
27.Handles inquiries for re-booking of business and new leads when Sales Managers are not available.
28.Closely communicates with concerned Sales Managers regarding the progress of the negotiation process.
29.Conducts site inspections for potential clients.
30.Attends regular communication meetings with operations staff to update event details.
31.Ensures effective and close communication within the department and other departments.
32.Maintains timely and responsive communication with clients.
33.Liaises with Food & Beverage Department in ensuring that the hotel hygiene and food safety control standards are maintained.
34.The hospitality business functions seven days a week, twenty-four hours a day. In addition, this is a hospitality business and a hospitable service atmosphere must be projected at all times.

Required Qualifications

2.Minimum 5 years experience in similar capacity with international chain hotels.

2.Good skills of organization and presentation.
