What You’ll Be Doing

It’s impossible to list everything you’ll do here because every day is different. But a few things are clear, you’ll:

Coordinate/manage schedule and calendar Internal and external interface with different level executives/leaders. Coordinate travel arrangements Create/prepare document, spreadsheet etc., Meeting support, event coordination, special task/project coordination Office Admin support; Prepare expense report if requested Coordinate appointments

This section contains a list of five to eight primary responsibilities of this role that account for 5% or more of the work. The incumbent will perform other duties assigned.

1) Direct support to a business/functional leader. 2) Internal and external interface with different level executives/leaders. Maintain high level of confidentiality to sensitive information throughout the organization. 3) Coordinate/manage schedules for leaders. 4) Create/prepare correspondence and complex presentations. Develop database/spreadsheets. 5) Coordinate travel arrangements. 6) Represent Baxter to external customers and vendors if needed. 7) Input and track monthly department budget. Prepare expense reports, and manage department credit line for purchases. Apply and implement internal policies and also provide training as needed. 8) Will be involved with project management/event coordination. Coordinate large scale events within defined budget. 9) May be responsible for timekeeping coordination and analysis. 10) May manage staffing activities to include interviewing, onboarding and transfers. 11) Establish partnership role within the administrative community.

[Qualifications]

Must have excellent oral and written communication skills in order to effectively communicate with high levels of the organization. Ability to work independently and identify proactive solutions to complex situations. Manage multiple tasks and be significantly detail oriented. Maintain highest degree of accuracy and timeliness of work. Advanced knowledge of PowerPoint, Word, Excel, Access, and computers/systems. Should also have demonstrated proficiency with Intranet and Internet applications and research. Must be able to handle highly confidential information. University or equivalent required. 3+ years of experience as Executive Assistant or Sr. Executive Assistant level.
