Position Overview
Siemens Industry is looking for an Executive Assistant to support senior management for the Digital Industries Services Business Unit. This in an opportunity for the right person to work in a fast pace remote environment working directly with Business Unit leaders to assist with establishing and maintaining organization, driving initiatives, and having a positive impact on the business.
The successful candidate will have a customer service mindset that anticipates needs and proactively executes within the boundaries of the organization. In addition, the ability to learn quickly and adapt in a fast-paced business is critical to the success of the individual. The ability to work remote is critical.
Responsibilities
- Providing administrative assistance, such as writing and editing emails, drafting memos and preparing communications on the executive's behalf
- Maintaining comprehensive and accurate corporate records, documents and reports
- Performing minor accounting and bookkeeping duties
- Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
- Answering incoming phone calls in a polite and professional manner and accurately taking messages
- Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
- Managing the executive's day-to-day calendar, including making appointments and prioritizing the most sensitive matters
- Coordinating travel arrangements (both domestic and international) and create trip itineraries
- Using various software, including word processing, spreadsheets, and presentation software to prepare reports and/or special projects
- Consummate professional with a focus of facilitating activities for Business Unit leaders.
- Serve as an effective gatekeeper and the virtual “front door” for the organization
- Prepare well-researched and accurate documents / monthly reports and meeting notes
- Manage calendars of business leaders. Establish and maintain meeting cadence for standard meetings and key initiatives
- Manage day to day tasks including but not limited to processing expense reports, consolidation of information for monthly reporting, and event planning support.
- Follow up on key initiatives and support leadership in ensuring actions are completed within defined timelines
Required Knowledge/Skills, Education and Experience
- Time management and ability to meet deadlines
- Proficient user of MS Office (Word, Excel, PowerPoint, Access, and Outlook)
- 5 to 7 ears of administrative assistant experience
- Excellent verbal and written communication skills
- Strong organizational skills and ability to multitask
- Problem-solving and decision-making skills
- Ability to act as gatekeeper and escalate relevant information to executives as needed
- Skilled in the use of standard office equipment (e.g., copiers, business telephone systems, projectors, fax machines).
- Ability to work effectively with minimal supervision
- Strong interpersonal skills
- Ability to treat confidential information with appropriate discretion
- Exceptional attention to detail
- Strong organizational skills
- Ability to learn and adapt quickly
- Ability to work in a primarily remote environment
- Manage video conferencing
- BS/BA in related discipline, or advanced degree, where required, or equivalent combination of education and experience.
