Job Description

(a) have a Bachelor degree from a local university, or equivalent;
(b) have a minimum of 2 years’ full-time post qualification experience, preferably in the Government or public organisations. Experience in executive/ administration work would be an advantage
(c) have attained Level 3 or above in English Language and Chinese Language in the Hong Kong Diploma of Secondary Education Examination (HKDSEE) or in the Hong Kong Certificate of Education Examination (HKCEE)(Note), or equivalent;
(d) have good organisation, communication and interpersonal skills;
(e) have good knowledge of computer software applications including MS Word (English and Chinese word processing), PowerPoint and Excel; and
(f) have the ability to work under pressure and willing to work overtime if needed.

Note:
‘Grade C’ in Chinese Language and English Language (Syllabus B) in the HKCEE before 2007 are accepted administratively as comparable to ‘Level 3’ in Chinese Language and English Language in the 2007 HKCEE and henceforth.

Duties:
(a) To assist in processing invitations by local and overseas organisations/groups, and coordinating logistical arrangements;
(b) To assist in processing incoming letters, memoranda and reports, and liaise with relevant parties for referral and follow-up;
(c) To provide executive and logistical support for meetings, visits and events;
(d) To maintain the register of the office;
(e) To assist in handling public enquires and complaints; and
(f) To perform other duties as assigned by the Bureau.

Terms of Appointment:
Successful candidate will be employed on non-civil service contract terms for a period of 12 months.

Fringe Benefits
(a) A gratuity may be granted upon satisfactory completion of the full contract period with consistently high standard of performance. The amount of gratuity payable will be the sum which, when added to the Government’s contribution to a Mandatory Provident Fund (MPF) scheme as required by the MPF Schemes Ordinance, equals 15% of the total basic salary drawn during the contract period.
(b) The benefits in respect of rest days, statutory holidays, annual leave, maternity leave or paternity leave, sickness allowance, where appropriate, will be granted in accordance with the provisions of the Employment Ordinance and confirmed at the time of the offer of appointment.

General Notes:
(a) Candidates must be permanent residents of the Hong Kong Special Administrative Region at the time of appointment unless specified otherwise.

(f) It is Government policy to place people with a disability in appropriate jobs wherever possible. If a disabled candidate meets the entry requirements, he/she will be invited to attend the selection interview/written examination without being subject to further shortlisting. Applicants who have declared disabilities found suitable for appointment may be given an appropriate degree of preference over other applicants whose suitability for appointment is considered comparable to that of the former. (g) Holders of academic qualifications other than those obtained from Hong Kong Institutions/Hong Kong Examinations and Assessment Authority may also apply but their qualifications will be subject to assessments on equivalence with the required entry qualifications. They should submit copies of their official transcripts and certificates by mail to the enquiry address.

How to apply:
Application forms [G.F. 340 (Rev. 3/2013)] are obtainable from any Home Affairs Enquiry Centre of District Offices, Home Affairs Department or any Job Centre of the Employment Services Division, Labour Department. The said form can also be downloaded from the Civil Service Bureau's website (http://www.csb.gov.hk). Completed application form together with copies of relevant documents (as specified below), should reach the following enquiry address on or before 6:00 p.m., 15 August 2019, with envelope clearly marked “Application for the position of Executive Assistant” (the postmark date on the envelope will be regarded as the date of submission of application). Please ensure that sufficient postage is paid. An applicant will bear any consequences arising from not paying sufficient postage. When submitting the application, the candidate is required to provide the following documents-

(a) details of bachelor degree (e.g. major subject and class and division of honours);
(b) copies of all relevant certificates and academic transcripts of studies;
(c) employment records with detailed description of duties; and
(d) copies of employment proof.

On-line application can also be made through the Civil Service Bureau's website (http://www.csb.gov.hk). Candidates who apply online should also submit the above mentioned documents (a) to (d) within one week after close of application period to the following enquiry address. The online application number should be quoted on the envelope and the copies of supporting documents.

Applications which are incomplete, late, submitted not according to the prescribed methods, not made in the prescribed form, or without required documents will not be considered. Candidates who are selected for interview will normally receive an invitation in about four weeks from the closing date for applications, but this timing is subject to change without prior notification to applicants. Those who are not invited for interview may assume that their applications are unsuccessful. Only candidates who are selected for interview will be notified.
