Job Description
To provide administrative and clerical support to the SVP, Chief Government Affairs Officer.
PRIMARY RESPONSIBILITIES:
- Perform administrative functions to the SVP, Chief Government Affairs Officer, make discretionary decisions and interface with all appropriate internal departments.
- Maintain a comprehensive calendar file for SVP, Chief Government Affairs Officer to ensure required reports are properly prepared and submitted on a timely basis.
- Keep track of appointment schedules and arrangement of business meeting.
- Attend meetings as directed and take notes.
- Produce and distribute meeting minutes.
- Collate, screen and distribute incoming and outgoing mail.
- Prepare and facilitate travel arrangements for the SVP, Chief Government Affairs Officer.
- Assist in preparation of supportive documents.
- Answer correspondence and compose memoranda and letters.
- Maintain confidentiality of sensitive materials.
- Meet the attendance guidelines of the job and adhere to departmental and company policies.
- Coordinate with the other departments’ Executive Assistant and to work as a team.
- Perform other related duties as assigned.

- Service standards are consistent with department’s expectations
- Records are kept in a systematic way for easy reference and retrieving
- Constructive relationships are built with team members and customers
- Ensure the department is operating in the most efficient manner
- Adhere to relevant policies and procedures
QUALIFICATIONS:
Experience
- Minimum five years working experience
- Minimum three years computer experience, with Microsoft Word, Excel, PowerPoint & Visio
- Minimum three years executive secretarial experience preferred
Education
- High School / University graduate preferred
