Role Mission: This role will assist GM with overall office work, act as a connecting role between GM and departments, and provide secretarial support with broad and comprehensive experience, skill, and knowledge of the organization's policies and practices.


Key Process Accountabilities

1. Assistant and Secretary

  • Provide daily executive and administrative support to General Manager on schedule planning, including calendar management, travel accommodation and transportation arrangement, expense reimbursement and so on
  • Organize and coordinate business meetings and make meeting minutes, responsible for the meeting material or agenda preparation, compiling
  • Vendor management, such as travel agencies, corporate hotels, etc.
  • Other assignments appointed by the GM, such as Expense claim, resident certificates preparation, etc.

2. Project Support

  • Gather, compile, verify, and analyze information for General Manager to use in documents such as memos, letters, reports, speeches, presentations, and news releases.
  • Support on PPT combination and preparation for project

3. Functional Coordination

  • Receive global visitors, coordinate related events and act as a hostess for guests to provide logistics support, not limited to travel agency arrangement, hotel coordination, etc.
  • Provide a strong link between the General Manager and other departments within the company (global, regional and country), and external parties and support the CEO in dealings with both internal and external communications.
  • Assist GM in leading and coordinating with functional departments, especially in the relationship and business handling between departments; hold business meetings for communication or discussion with departments when necessary

4. Internal Control

  • Maintain strict conformity of the corporate contract approval and stamping with the corporate processes and requirements
  • Maintain SAP approval process and support the PO and non-PO processing
  • Corporate stamp management in alignment with company policy

Job Requirements:

  • Education: Bachelor degree or equivalent
  • Experience: At least 1 years’ experience in related field
  • Knowledge
  • Excellent command of English both written and spoken
  • Excellent of organizational and planning skills, has the ability to manage multi-task
  • Detail oriented, time prioritization, ability to work independently and effectively
  • Possess positive work attitude with good communication and interpersonal skills and follow-up capability
  • Skillful in using Microsoft Office
  • Interpersonal Skill: Self-starter, flexible, adaptable, detail-oriented Honest, dedicate, effective and easy going; Proven communication and organization skills Ability to work independently
  • Travel Requirement: As required
