Job Description

To provide administrative and clerical support to the Executive Vice President, Chief Marketing & Brand Officer. Responsible for all systems applications and filing of processes required to complete the department’s objectives.

PRIMARY RESPONSIBILITIES:

  • Perform administrative functions to the Executive Vice President, Chief Marketing & Brand Officer, make discretionary decisions and interface with all appropriate internal departments.
  • Maintain a comprehensive calendar and files for Executive Vice President, Chief Marketing & Brand Officer, ensure required reports are properly prepared and submitted on a timely basis.
  • Organize appointment schedules and arrangement of business meetings.
  • Prepare and facilitate travel arrangements for the Executive Vice President, Chief Marketing & Brand Officer.
  • Organize data on excel
  • Assist in formatting and creation of PowerPoint presentations
  • Familiarity with all IT processes, applications and usage
  • Assist team members in project organization, support documents preparation or gifts organization.
  • Assist in answering correspondence, compose memoranda and letters.
  • Maintain confidentiality of sensitive materials and its filing.
  • Apply for POs, manage all system required processes for the team’s projects.
  • Manage all department paperwork and items: collate, screen, distribute, file.
  • Meet the attendance guidelines of the job and adhere to departmental and company policies.
  • Coordinate with the other departments’ Executive Assistants and to work as a team.
  • Perform other related duties as assigned.

QUALIFICATIONS:

Experience

  • Minimum 5 years working experience
  • Minimum 3 years computer experience, with Microsoft Word, Excel, PowerPoint & Visio
  • Minimum 3 years executive secretarial experience preferred

Education

  • University graduate
  • Fluent in Cantonese and English
