Support General Manager's routine job holistically
Coordinate with all department heads & employees as directed to support the completion of business priorities
Lead the Admin team to provide effective and excellent services and a safe, clean and orderly working environment to employees;
Ensure all facilities and processes operated and maintained in a cost-effective, safe and premium conditions.
Functional responsibilities
Executive Assistant
Manage GM’s calendar (schedule meetings/appointments, conflict coordination)
Prepare and arrange GM’s travel schedule (agenda, air tickets, hotel and ground transportation)
Expense claim for GM
Screen phone calls/post/fax and documents submitted for approval
Make meeting arrangement (venue, meals, transportation, etc) and take meeting minutes to ensure all follow-up tasks could be finished effectively and efficiently
Prepares/drafts presentations, briefing notes, speeches and correspondence using own initiative and templates as required
Consolidate relevant business data and hand in monthly report in time, such as sales reports, forecast plans, sales presentations, etc.
Analyze the business performance of departments on a monthly basis
Assist GM in building strategic business plan to cope with the growth of existing clients and the development of new clients
Keep external / internal communication with HQ, Management team, staff, and other region/global offices
Build a strong working relationship between GM and staff to resolve problems and / or conflicts and maintain open communications with staff
Coordinates with all department heads & employees as directed to support the completion of business priorities
Keep and review company contract to ensure all business activities in compliance with local law and company policies
Provide other supports to GM as requested
Office Admin.
Develop and continuously improve admin related procedures and policies
Manage all central office administration activities including office space, reception, mailing and stationary supplies, transportation, office equipment and supplies, travel agency service and hotel arrangement, office repair and cleaning, etc.
Manage the facilities in the office and make sure they are in the good conditions
Lead and arrange company events including annual party, management meeting, leadership team building, foreigner visit, etc.
Select and maintain qualified indirect purchasing vendors and ensure quality service delivery by efficient management
Visa/invitation letter and local hospitality for overseas visitors/colleagues
Arrange admin expense payment and control overall cost reasonably and effectively
Ensure daily operation in compliance with laws and regulations, company policie and best practice is adopted .
Monitor admin operations in Wuxi and Xi’an workshops including rental & property management, shuttle bus, canteen meal, security, courier, plantation, insurance, stationery, etc.
Other administrative work, such as document archives, fire protection safety management, sanitary control, printing management, company seal management, etc.
Qualification
1. Education: Bachelor degree
2. Working Experience: 8+ years related working experience
3. Excellent written and oral communication skills, both in Chinese& English
4. Problem-solving experience
5. Excellent time management, organizing and prioritizing ability
6. Good Office software skill, such as Word, Excel, PowerPoint software etc.
