The opportunity
We are seeking an experienced Executive Assistant to join our team on a fixed-term 14-month contract (maternity leave cover) to provide quality administrative support to the Managing Director of Mercedes-Benz Vans.
In our fast-paced environment, no two days are ever the same. As well as supporting the Managing Director, the Executive Assistant is also involved in internal projects and events, and provides general coordination support to the broader Mercedes-Benz Vans team in Australia and New Zealand.
Key responsibilities include:
- Calendar and travel management
- Manage mail, telephone and email communications
- Coordinate senior leadership meetings, events and celebrations
- Arrange itineraries as appropriate for Vans team, as well as visiting overseas guests
- Manage submission of all relevant expenses
- Prepare drafts and assist with formatting (e.g. PowerPoint presentations)
- Capturing and distributing meeting minutes, including capturing actions and following up deadlines
- HR support, including people and culture team events
- Coordinate office activities, including processing supplier payments and keeping up to date with internal systems and processes
- Assist with enquiries from retailer network and external parties as required

Who we are looking for
A successful candidate will be people-focused, with a passion for supporting others and a customer-orientated mindset and commitment to deliver exceptional service to all internal and external stakeholders.
 
3+ years’ experience in a similar role is ideal, along with demonstrated experience of support to senior management roles. Excellent practical knowledge of Microsoft Office is essential, along with a pro-active attitude, strong problem-solving abilities and demonstrated success in effectively prioritising and meeting deadlines.
