The Executive Assistant provides administrative and general support duties for the BSI Consulting Leadership Team. Duties may include but are not limited to meeting coordination and logistics, scheduling travel both domestic and international, managing calendar priorities, and process and

review Leadership Team members expense reports. Additionally, this position drafts and analyzes memos, maintains meeting minutes, correspondence, reports and presentations. The ability to keep items of a confidential nature is required along with extensive software skills and

internet research abilities, strong communication skills and the ability to anticipate needs.

Essential Responsibilities:

  • Communicates and/or coordinates the Leadership Team's instructions and calendars internally between BSI team members as well as to external clients and vendors.
  • Screen incoming calls/e-mails to the Leadership Team.
  • Researches topics of a business-nature at the direction of the Leadership Team.
  • Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software.
  • Creates and maintains a filing system both electronic and manual
  • Making travel arrangements (domestic and international)
  • Process and review expense reports for accuracy
  • Read and analyze incoming memos, submissions, and reports to determine their significance.
  • Assist with prioritization on incoming documents.
  • Open, sort, and distribute incoming correspondence, including faxes and email
  • Greet visitors and determine whether they should be given access to specific individuals
  • Creates and revises systems and procedures by analyzing operating practices, recordkeeping systems, forms control, office layout, and budgetary and personnel requirements; implementing changes.
  • Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
  • Contributes to team effort by accomplishing related results as needed.
  • All other duties as assigned

The ideal candidate will possess the following characteristics:

  • BS/BA Business preferred
  • Minimum 4 years administrative experience
  • Microsoft Office Suite knowledge required.
  • Experience creating and maintaining expense reports
  • English as a minimum and Spanish, French or Portuguese a plus
