Job Description
POSITION OVERVIEW:
Avery Dennison is seeking an Executive Assistant. This role will report to the general manager and will be responsible for supporting the commercial teams in the LPM Division. The successful candidate will perform advanced, diversified and confidential administrative duties requiring broad and comprehensive experience, skill and knowledge of Avery Dennison’s organizational policies and practices.
KEY RESPONSIBILITIES:
Organize and maintain supervisors’ correspondence and records, working independently with guidance in only the most complex situations
Schedule appointments and arrange meetings, conferences, and travel
Process and track expense reports
Maintain highly confidential documentation and files on a daily basis
Plan all logistical and coordination activities for meetings, conferences or projects from beginning to end
Communicate and/or coordinate supervisor’s instructions with various individuals and/or departments
Provide administrative support relative to their respective role/function, e.g. special reports, summaries, data analysis
Communicate widely across the organization and coordinate broader regional or operational meetings/initiatives on behalf of supervisor
Research a wide variety of complex information requests independently
To accomplish ad hoc projects as assigned by the supervisors
Qualifications
QUALIFICATIONS:
Bachelor degree in administrative related major
Good command of spoken and written English and Chinese, including Mandarin
7+ years administrative experience, with 2+ of those years supporting one or more executives preferred
Experience in an international corporation and familiar with coordinating travel and meetings on a regional scope
Excellent research, organizational and project coordination skills
Excellent time-management skills, ability to prioritize and juggle multiple priorities
Strong attention to detail, and strong analytical skills, e.g. data compilation and analysis.
Strong interpersonal skills, good common sense, and the ability to perform tasks with initiative and follow-through
High proficiency in Microsoft Word, Excel and PowerPoint, and other applicable computer systems such as Lotus Notes
