Position Summary:

 

We are looking for an Executive Assistant to support the Chief Revenue Officer (CRO) and Senior Director, Chief of Staff.  As Executive Assistant you will support in key operational rhythms, business processes, procedures and supporting the Global Account Advancement business and enabling effective execution. This position reports to the Senior Director, Chief of Staff based in the Netherlands.

 

This position is also open to those seeking a part time position for 24 – 40 hours a week. 

 

Your Day-to-Day:

 

  • Support in preparing and consolidating data and presentations for external and internal audiences such as users, conferences, senior leaders of the company, All Hands meetings etc.
  • Assist with staff on-boarding and off-boarding, which includes requesting equipment setup and system access
  • Produce high quality emails and messages to individuals at all levels of the organization
  • Maintain Executive Bio up to date
  • Maintain email aliases, distribution lists and shared directories, including maintaining permissions
  • Monitor purchasing software system notifications and approves on behalf of executives if appropriate. May serve as point person for departmental purchases.
  • Coordinate procurement activities across the team including setting up new vendors and opening Pos
  • Review CROs inbox daily and distinguish and extract those for Chief of Staff to resolve and what needs to be escalated to him.
  • As and when required, taking minutes of meeting, identifying key action items and follow up with relevant parties to ensure execution to deadline.
  • Supporting the Senior Director, Chief of Staff with people development initiatives such as recruitment, learning & development, diversity & inclusion initiatives, engagement survey action plans and all things talent related.  
  • Managing the Chief Revenue officer’s busy agenda considering organizational and cross-group schedules and commitments.  Coordinating all meetings across global time zones with diplomacy and discretion including making calendar decisions on their behalf to effectively prioritize their time and resources.  
  • Find new and efficient ways to help maximize the CRO’s time and ensure he is prepared for upcoming meetings, presentations, and projects by gathering materials necessary.
  • For the Chief Revenue Officer, coordinate advanced domestic and complex international travel (flights, hotel, rental cars, etc.) with multiple connections and countries. This includes advanced understanding travel visas and documentation as well as expense reconciliation.
  • Assisting Global sales with the most strategic Proposals and Sales issues.
  • Administration & Tracking of Global Account Advancement Colleague Reward and Recognition Program.  
  • Designing and launching of an engaging Quarterly Global Account Advancement Newsletter.  
  • Occasional support for Events organization where needed.
  • Support with performance tracking against OKR’s and other team metrics
  • Other administrative and project duties as requested and supporting the Senior Director, Chief of Staff with key AA global initiatives.

 

What You Bring to The Team:

 

  • 2-5 years relevant experience providing administrative support for Director/ Executive level preferred.
  • Experience with executive level calendar management
  • Experience with domestic and/or international travel coordination
  • Experience with Microsoft Office Products
  • Microsoft Suite (Outlook, Word, Excel, SharePoint, and Visio)
  • Excellent organizational skills, written and able to ability to communicate with all levels of leadership and across multiple offices and timezones.
  • Strong desire and commitment to achieve operational excellence.
  • Must demonstrate strong teamwork, resourcefulness, and be trustworthy with sensitive information.
  • High tolerance for ambiguity, with the ability to create order.
