The Opportunity

The Executive Assistant will provide co-ordination and executive administration support to the assigned Chief Officer (CO) and their Senior Leadership team. (SLT)

As an EA you are responsible for a wide variety of administrative tasks as delegated by your Chief Officer.

About the role:

Some responsibilities include:

  • Diary management – responsible for ensuring meetings and meeting facilities are booked as required, that the CO and SLT supported have an up to date and accurate calendar that is manageable, and that any enquiries about appointments and changes to appointments are managed professionally and in a timely manner.

  • Compiling reports and data as requested in a professional manner, including presentations, financials, and statistics.

  • Ensure CO is fully prepared in a timely manner for Executive and Board Meetings, and meetings are set up as required.

  • Assist in the expense budget management for your assigned business unit/s.

  • Financial reconciliation – assist with CO and SLT expense budgets, identify overspends, duplications and mis-coded items.

  • Meeting coordination including management of agendas and minutes.

  • Solving issues or dealing with queries where possible and escalating them to the right person as appropriate.

  • Manage travel arrangements for the CO, SLT and overall function as required

  • Arrange external workshop or meeting venues when needed.

  • Arrange functions & catering as needed at either internal or external venues.

About You:

  • Previous experience working as an EA or PA is desirable

  • Proven ability to develop effective relationships

  • Advanced skills in Microsoft Office suite of products

  • Superior organisation and time management skills including the ability to prioritise tasks, multitask, and work autonomously

  • Interpersonal skills particularly an ability to relate to others at all levels

  • Attention to detail and accuracy including spelling and grammar skills

  • Able to handle sensitive information with absolute confidentially

  • Strong problem-solving skills
