WHAT WE OFFER

The Office Management Function (OM) is a centralized service function to provide pooling administration services and clerical support to all Business Units and Corporate Functions in Hong Kong. The OM function is looking for Executive Assistants who work as one of the pool assistants for all secretarial and business support matters pertaining to the assigned Business Unit / Corporate function.

In your role, you will be responsible to:

1. Assist the Executives/Team Lead on a daily basis to cope with his/her various tasks efficiently and effectively, including but not limit to calendar, calls, travel, prepare information for meeting, handle enquiry, coordinate and support department activities like Town hall, round table, luncheons, company events, support Corporate Social Responsibility activities, etc

2. Provide basic departmental secretarial function to all staff other than Executives / Team Lead:

  • Independently organize conferences, meetings, travel schedules calendars, timetables, and other APAC or global activities schedules
  • Assist to acquire signature for purchase orders and contract on a timely manner, and mail back to the relevant country
  • Responsible for traveling offline bookings such as out of scope tasks and ancillary services
  • Responsible for Hot Desk Services for Event Management & Purchase Requisition support for the department
  • Provide advisory support on the use of Concur Claim system, and online travel booking tool
  • Perform SAP support by creating purchase requisition and goods receipt, Yourdocs system, vendor master and to follow through on the process

3. Provide basic business support duties:

  • Prepare monthly KPI
  • Support business data input
  • Consolidate the report
  • Contact point for customer internet inquiry and make appropriate follow up actions

4. Work as a back-up to other department assistants and receptionist duty if required

5. Provide support to ad hoc assignments


WHAT YOU OFFER

  • University graduate with Bachelor degree in Economics, Statistics, Marketing or major in office administration or related discipline preferred
  • 5+ years in secretarial and business experience preferably with multinational companies
  • Exceptional capabilities in planning and organizing
  • Attend to details and strong in data consolidation and reporting
  • Self-motivated; Resilient to high pressure; Highly flexible
  • Trustworthy; Ability to keep confidentiality and strong in ethical behavior
  • Team player; Good interpersonal skills
  • Strong communication; Fluent in oral and written English and Chinese. Mandarin would be an advantage.
  • Proficiency in MS Office Applications, like PowerPoint and Excel. Experience in SAP would be an advantage.
