We are presently recruiting for an Executive Assistant reporting into General Manager, Allergan Aesthetics (AA). This position is full-time and based at the Markham head office. As the primary point of contact and main liaison for the General Manager, the Executive Assistant oversees administration for the General Management Team, including the General Manager & PMO/Chief of Staff, as well as some administrative support to some other functions as required (e.g. AMI, Communications, etc) Responsibilities: Provide administrative support to the General Manager, which may include management of schedule, emails, organizational support and liaising with AbbVie Canada and AA regional colleagues. Keep and update listing of team members and distributions lists for AA in Canada Administrative support for the scheduling, agenda creation, minutes and action items for the AA Leadership Team and AA Operational Leadership Team; Assist with coordinating travel arrangements for the general management team and maintaining an up-to-date AA corporate calendar. Provide accurate administrative support by composing, and/or editing a variety of documents. This includes confidential correspondence, contracts and proposals; Assist with compliance monitoring of key SOPs for the organization. This includes validating the appropriate documentation and processes of samples taken throughout the year. Administrative tasks for this position will include cataloguing and filing of appropriate legal agreements for the company and developing and maintaining a well-organized filing system that permits easy reference and rapid retrieval of information; Creation of POs, good receipts, and execution of cheque requisitions; Work with Finance and Compliance/Legal to management general management budget and reporting system to track general management budget; Assist with the development of corporate presentations, providing reliable administrative services, research skills and other support as needed; Assist in the management and coordination of various projects; Assist in presentations, reports and analysis that support the business unit; Provide administrative support and help with organizational tasks where necessary for the general business. Qualifications Skills: Excellent grasp of English language (written and verbal) Intermediate to advanced working knowledge of the full Microsoft Office Suite Highly organized with the ability to thrive in a fast-paced environment Working independently to manage multiple projects, duties and assignments Collaborative style and enjoys working with cross functional internal partners Communicating clearly and concisely, both orally and in writing Exceptional time management, organizational and note-taking capability Willingness to learn new functions and try new tasks as assigned Friendly and personable with the ability to build positive working relationship with clients, co-workers and internal and external customers. Desire to serve our internal and external customers in keeping with Allergan’s core values Minimum Qualifications: • College diploma with office administrative certificate; • 5 years of executive /administrative work experience; • Excellent inter-personal skills and the ability to take initiative • Good understanding of the Canadian pharmaceutical marketplace is preferred.
