Associate Project Management / Executive Assistant (CW)

Remote Role

Key Responsibilities:

  • Serves as hybrid between Project Management and Executive Assistant
  • Ensures efficient and effective process execution regarding major processes and events (including MEA MT, MEA OPT meetings, ICLT Business Reviews, Affiliate Business Reviews)
  • Determines project timelines and deliverables on for key initiatives, coordinates information flow between ICON and MEA to optimize tasks and functional processes efficiently
  • Owns execution of strategic priority projects of MEA sub-region (consists 6 clusters with16 countries) as defined by the MEA LT and MEA GM.
  • Drives process for MEA LT and MEA OPT meetings including agenda creation, facilitation, meeting minutes and follow up on key action points.
  • Fosters coherent interface between MEA and ICON. Acts as a main contact in coordinating key projects and deliverables between MEA and ICON.
  • Tracks project milestones and outcomes reports back to MEA GM and cascades information down to MEA LT members. when appropriate.
  • Coordinates and leads MEA cross-functional calendar, aligns with ICON calendar.
  • Designs and manages team collaboration sites and tools such as Tableau, SharePoint, Box, Teams
  • Manages functional meetings (MEA Townhalls, LE’s and Quarterly Business Reviews) with agendas, presentations, action items, etc.
  • Creates management reports and assisting GM to organize meeting briefings, operating reviews, management presentations and business metrics.
  • Independently responds to routine correspondence, determines best approach and presentation when preparing and formatting correspondence, memoranda, reports and presentations.
  • Administrative support to the MEA GMs.

Qualifications

Minimum Requirements

  • Bachelor’s degree
  • Minimum 3 + years related experience in administrative support / project management role
  • Prior experience working within the Life Sciences Industry is a must.
  • Experience using MS Office tools (Excel, PowerPoint,Outlook)
  • Fluency in English, Arabic language skills would be preferable

Preferred Requirements

  • Experience in similar or related disciplinary and/or international environment
  • Experience in coordinating teams without hierarchy reporting
  • 3+ years of experience in project management
