Executive Assistant Communications and Investor Relations

Job Description

What You Will Be A Part Of:

The successful candidate will possess strong organizational, analytical, and administrative skills to provide full scope of executive administrative assistance to the Communications and Investor Relations Departments. The successful candidate provides strong administrative support to the department’s initiatives, handles multiple projects simultaneously, and quickly learns about the procedures involved in the administration of plans.

What You Will Do:

  • Maintains various calendars for team leaders, including assisting in organizing high-level meetings and complex domestic and international travel arrangements
  • Provides phone coverage
  • Prepares and reconciles travel expense reports
  • Works with staff on various functional projects and special reports
  • Develops and modifies new and existing PowerPoint presentations, correspondence and Excel spreadsheets
  • Maintains document retention files – i.e. non-disclosures, trademarks & patents, and contracts
  • Partners with corporate administrative professionals in order to manage needs of their executive
  • Performs general office duties maintains files, orders supplies, maintain databases, process invoices and ensures the workflow of the office runs smoothly
  • Completes all other position-related duties as assigned or requested

Education:

  • Associates Degree or equivalent combination of education and experience a plus; BS/BA preferred.

How You Will Get Here:

  • Minimum 3 years’ experience as an administrative assistant/senior administrator, supporting senior executive(s) in a large multi-national company
  • Experienced in supporting a global organization with multiple locations and time zones
  • Experienced in independently managing multiple concurrent tasks and meeting rigid deadlines
  • Must be proficient in spreadsheet, presentation, & email software such as MS Word, Excel, PowerPoint, Outlook, and general MS Windows operations
  • Must present a high degree of professionalism and excellence in both written and verbal communication, as this role is an extension of the functions and the executives
  • Strong problem-solving skills and reasoning to solve administrative issues
  • Positive, “can-do” attitude
  • Focused on serving internal and external stakeholders
  • Able to learn the executives’ primary business objectives, and through this understanding is able to anticipate administrative needs of the executives
  • Excellent attention to detail
  • Proficient in performing basic internet searches
  • Ability to maintain strict confidentiality
