Executive Assistant, Food & Beverage
You are a multi-tasker and are able to work independently, performing a wide range of complex and confidential administrative duties to support your team. You communicate well with all contacts, anticipate and resolve issues, and update team your various projects.

Reservationist Responsibilities.

  • Managing the flow of reservations in all areas on a daily basis, ensuring we maximize productivity, guest satisfaction, and increase restaurant volume
  • Maintain active daily telephone and email activity with potential customers
  • Ensure guest inquiries are handled professionally, efficiently and effectively including any that come through email or call back ticket format
  • Suggest procedural enhancements to the F&B Reservation process to further elevate guest experiences
  • Follow up on all leads and inquiries for small group reservations both by telephone and through written correspondence within 1 hour
  • Responsible for booking all small group reservations for all Fairmont Pacific Rim restaurants
  • Attend all F&B, and BEO meetings and operational meetings required
  • Create and maintain client and guest accounts in Open Table and Opera Sales and Catering
  • Create and maintain client folders for each booking
  • Continuously work with client on all details for each booking
  • Follow up with each guest post-event to acquire feedback, and implement continuous improvement
  • Responsible for receiving credit authorizations
  • Create BEO, OEO’s for each booking when required, and copy and distribute those needed
  • Handle requests for specialty orders such as cake orders or g caters
  • Manage ticket sales and reservations for special event dinners
  • Maintain and update official event Calendar

Administrative Responsibilities.

  • Responsible for managing E-Mails, Tasks, and Calendars for Director of Food & Beverage
  • Assist with the development and organization of Food & Beverage strategic plans
  • Assist the leaders with recruitment and departure items
  • Ensure the departmental payroll is accurately and efficiently recorded
  • Assist with inputting accurate and specific maintenance requests while tracking progress
  • Creating power point presentations for departmental meetings, scheduling departmental meetings, writing and posting meeting minutes and maintaining the office filing system
  • Follow up on guest concerns and share all guest comments with the leaders
  • Work in conjunction with the Food & Beverage Director on promotions, menus, and special events
  • All other F&B projects as defined

    What you will be doing:
  • Organize and implement administrative systems & procedures, and perform necessary support duties
  • Serve as a principal source of information for the team
  • Prepare and maintain your department’s records

    Your experience and skills include:
  • Excellent interpersonal and communication skills
  • Ability to prioritize work in an environment with multiple interests
  • Ability to handle complex and confidential information with discretion
  • Competency using a variety of computer softwares
  • Minimum of 1 year experience in Food & Beverage, hotel dining room, or high volume restaurant
  • Previous experience in an administrative sales role
  • Problem solving & decision making skills; analytical and highly detail oriented
  • Product knowledge, including a thorough working knowledge of wines, liqueurs and other beverages    
  • Proven successful financial performance of restaurant under their operation
  • Excellent interpersonal & communication skills; service oriented and a team player  
  • Strong computer skills (Outlook, Word, Excel and MS Office software required, Opera Sales & Catering, Open Table and In Design an asset)
  • Strong business writing and communication is essential
