Executive Assistant II (Supporting Services Department)

Job Description

1. To assist the managers in the management and delivery of a combination of the following
hospital supporting services including:
  • Domestic services;
  • Quarters management;
  • Linen and laundry services;
  • Estate management;
  • Environment management;
  • Transportation.
2. To provide executive, administrative and clerical support to managers including notes taking, notice drafting, record keeping, filing, preparation of management / statistical reports.
3. To assist in contract management and budgetary control.
4. To assist in coordinating hospital activities/ programs, and to prepare promulgation posters, flyers with computer software.
5. To perform any other duties as assigned by supervisors.

Entry Requirement:
1. University Graduates; OR
2. F.5/ S.5 with:
(a) HKCEE 5 passes incl. Eng (Syl. B) & Chin; or
(b) 5 subjects in HKDSE attaining the level specified below:
(i) Level 2 in Eng & Chin; and
(ii) Level 2 in New Senior Secondary subjects/ "Attained" in Applied
Learning subjects
(subject to a maximum of 2 subjects under this category)/ Grade E in Other
Language subjects
AND diploma in a specialized function.


Preferable Attributes/ Exposure:
1. Good knowledge and work experiences in estate management / domestic services / hospitality industry.
2. Good command of written and spoken Chinese and English.
3. Sound knowledge in computer applications including Access, Excel, PowerPoint, Words and
Chinese word processing.
4. Good communication and interpersonal skills.
5. Pleasant and mature personality, interested to work in hospital environment.
6. Able to work independently.


Remarks:
For Serving HA Staff:
1. F.5/ S.5 with 2 years’ relevant experiences in HA may also be considered.
2. The selected candidate(s) will be offered contract or fixed terms appointment for 1 - 3 years depending on his/her existing employment terms.
3. The offer of salary to serving employees upon changes in appointment will be determined based on the remuneration package/ employment terms of the staff concerned and prevailing policies.
For External Applicants:
4. Appointment will be on contract terms for 1 - 3 years. 5% of total basic salary as end-of-contract gratuity may be offered upon satisfactory completion of contract.
5. Retiring / retired HA staff who wish to continue working for HA after their normal retirement may also apply. If selected, the terms and conditions of employment will be offered in accordance with prevailing policies of the Retired and Rehire Mechanism of HA.

6. May be required to work outside normal office hours, work shift and irregular hours, and attend duties during typhoon, black rainstorm warnings and other emergencies.
7. Selected candidates will be posted to Princess Margaret Hospital and may be required to work in another work location to meet service needs of the HA.
