The Executive Assistant position will report to Head Meta Region Asia Pacific and Middle East (LDA APAC&ME). This position is responsible for providing comprehensive support, and managing the organization’s office operations across Geographies and Time Zones as per the assigned countries. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality Change the future with us- Areas of Responsibility Provide sophisticated calendar management. Prioritize inquiries and requests while troubleshooting conflicts; make judgments and recommendations to ensure smooth day-to-day engagements. Develop and operate with a global mindset, engage productively in complex, changing environments, & bring the best the Network has to offer. Focused on accomplishing the strategic priorities of the Firm. Act as a liaison and provide support for arranging and handling all logistics for meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes on. Adhere to compliance with applicable rules and regulations set in bylaws regarding operational matters. Maintains confidentiality of all sensitive or proprietary information. Complete a broad variety of administrative tasks that facilitate the Head Meta Region Asia Pacific and Middle East’s ability to effectively lead the organization, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports. Analyzes strategic or operational tasks, in the assigned functional area. Gathers, analyzes, and evaluates relevant data, and provides comprehensive reports and decision memos. Prepares presentations, reports, statistical charts, and briefings. Complete projects by assigning work to appropriate staff, including the Executive Team. Serve as the primary point of contact for internal and external constituencies on all matters, including those of a highly confidential or critical nature. Prioritize and determine the appropriate course of action, referral, or response, exercising judgment to reflect the Head Meta Region Asia Pacific and Middle East’s style and organization policy. Keep well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense of the issues taking place in the environment and keeping updated. Anticipate needs in advance of meetings, conferences, etc. Maintain open communications with respective country leadership Teams, including meeting regularly with their operations and technology coordinator and providing information and documents as needed. Coordinate all Executive Team meetings and retreats and assist with staff meetings and events as needed. Anticipate future needs as the organization grows. Assist in the selection of vendors and purchase of equipment, services, and supplies necessary for the operation of the organization. Manage information systems operations including hardware, software, desktop support, internal telecommunications, and strategic systems development and planning. Provide leadership to all levels of the organization, to meet their current and future information needs. Supervise IT, consultants. Prepare budget recommendations. Replenish office materials such as printer supplies, paper, office supplies, etc. Provide event management support as requested. Provide hospitality to all guests and help to create a welcoming environment. Assist in preparing annual budgets, and complete analysis of monthly budget activity. Coordinates and establishes all travel arrangements, and reconciles travel and expense reports Assists in the integration of new office technologies and systems as appropriate. Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners. Expert level is written and verbal communication skills. Demonstrated proactive approaches to problem-solving with strong decision-making capability and Emotional maturity. Highly resourceful team player, with the ability to also be extremely effective independently. Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response. Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment. Forward-looking thinker, who actively seeks opportunities and proposes solutions. Education and Experience Requirements Bachelor's / Master’s degree with strong work tenure: 10 to 15 years of experience. Experience and interest in internal and external communications, and partnership development. Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and Social Media web platforms. We’ve got quite a lot to offer. How about you?
