The role of Executive Assistant – Office of Supply Chain Management supports the effective functioning of the office of supply chain management, to create bottom-line impact by driving cost management and operational benefits. The role is responsible for providing administrative support across key SCM activities, proactively working with key stakeholders to instill operational discipline, coordinating record management to meet internal and external reporting requirements, preparing management reports, presentations and reviews etc. This role supports VP level leaders with diary management, travel and expenses and event management ESSENTIAL FUNCTIONS: Provide administrative and technology support effectively utilizing the current version of Microsoft Office and other project software packages. Coordinate processing of travel arrangements, expense reports, global meetings/video conferencing within SCM and across corporate functions. Conduct small and large event planning and execution which could include coordination for visiting senior management. Coordinate monthly reports including data collection, formatting, preliminary analysis and preparation of recommendations. Schedule regular management meetings ensuring physical infrastructure is ready to go. Prepare documents, presentations and spreadsheets; organize files and retrieve documentation (electronic and hard copy) in compliance with legal and regulatory requirements, Eaton’s policies and business needs. Create, organize and maintain efficient workflow processes in terms of projects and assignments. Deploy the most appropriate available tools and technologies to increase our administrative efficiency Qualifications SPECIALIZED KNOWLEDGE: A proven track record of supporting and working at senior executive level A strong, confident communicator with both excellent written and oral communications skills, with the ability to interact with senior management and clients Ability to build relationships with and work as part of a team, ensuring seamless service to the firm and clients Meticulous attention to detail Confident in exercising own judgement and make decisions to prioritize, challenge, negotiate and influence Ability to balance multiple and competing demands and remain calm under pressure A solution-orientated approach to situations and a willingness to learn in a fast-paced, growing environment Proficiency in MS Office (Word, Excel & PowerPoint) and MS Outlook What you will get from us Eaton’s mission is to improve the quality of life and the environment through the use of power management technologies and services.
