Job Description

 

1.  VP Assistant roles

 

Support VP to perform duties and responsibilities in a most effective and productive manner.

VP responsible areas:
1) CS MKT (Overseas)
2) Tech Ops. (GSP/TP)
3) Warranty Ops (GSP/BWP, BWO, MS/OCR)
4) Customer Support (CaC Maastrict)
5) Training (MS/DTD)

6) LCK (OGAP)

  

--Organize meetings and appointments with related department and business partners and manage calendar

- Work with multi-nationalities and coordinate with various international functions and business units

-Organize Business trips

-Prepare and compile meeting materials and write MoM and update follow-ups

-Prepare and compile ExCom decision making documents

-Follow up and monitor tasks given by VP

-Prepare and follow up various VP communications timely to department and dealers

-Monitor timelines for company related projects & tasks given to VP

-Communicate with VP direct reports to speed up daily process and improve efficiency

-Plan annual VP office budget and budgetary control based upon company guidelines and seasonality

-Manage and handle monthly expense reports & various accounting reports

-Lead CS Shining star of the month

-Shared folder management for CS Management

-Visitor support

 

 

2. Project Management

-Consolidate and set strategic plan and projects across Customer Services

-Develop and coordinate Project reports and presentations for meetings

-Coordinate and facilitate Project meetings, workshops

-Write and communicate meeting materials and minutes

-Monitor and manage the progress of the projects, follow-up actions and tasks   

-Maintain communication and related documents in compliance with corporate methodologies, policies, rules, procedures and tools

-Prepare regular and “ad hoc” project reporting



3. Department Support

-  Handling communication in and between departments and within CS/MBK when necessary

-Monthly CS KPI announcement to dealers

-Coordinate and set up department events such as Town Hall meeting, workshop, conference and training

-Follow up and monitor tasks given to CS department

-Develop and coordinate business reports and presentations for department meetings

-Lead project when required on behalf of CS department

-Deliver CS feedbacks/suggestions to related teams in MBK to follow up on behalf of CS department

-Budgetary control for CS department based upon company guidelines and seasonality

-Administrative accounting voucher support on behalf of CS department

-Overseas trip management for CS department incl. regular reporting

-Company chop/Transaction chop management incl. regular reporting  

-Shared folder management for CS department

-Company-wide meetings & events support on behalf of CS department

 

 

4. Offsite location offices administrative supports

-Coordination of meetings, workshops, conferences and trainings with offsite location offices – LCK, TA  

-Administrative supports incl. approvals and various events related affairs

-Regular distribution of CS department & MBK announcement, work instructions and misc. important communication topics

 

 

5. Visitor Management

-Manage visitors from various organizations i.e. Overseas, GSP/TP, GSP/BWP, BWO, MS/OCR, CaC Maastrict, MS/DTD, OGAP 

-Administrative supports for visitors

 

 

6. Compliance

-To be fully compliant with DAG policies and guidance

-     Attendance of mandatory compliance meetings

Bachelor degree
 
  Experience
 
Minimum 3 years of job experience in relevant fields
Fluent in English (Both written & speaking)
Excellent MS Office skills
Supportive and well organized
Strong intercultural experience
