Executive Assistant to Chief Financial Officer

  • Provides high-level, dedicated administrative support to Chief Financial Officer and Investor Relations with partial support other Finance Leadership Team members when there is time.
  • Serves as SharePoint administrator for Finance Leadership team, Investor relations, Albemarle Leadership team, Benefits Plan Investment Committee and others as needed
  • This position plays a critical role in supporting the executive(s) in all day-to-day activities.
  • Coordinate and maintain the annual Corporate calendar with input from all key stakeholders such as legal (Board meetings), controllership (financial closing requirements), other EAs (external Board conflicts), etc.
  • Enhances executive’s effectiveness by providing confidential executive administrative support. The person in this position must maintain the highest level of confidentiality and diplomacy regarding all information
  • Frequently compose and finalize complex correspondence, documents, meeting minutes, reports and other-format documents
  • Coordinate the development and production of key presentations including quarterly Audit & Finance Committee reports, quarterly Board meeting presentations, quarterly Finance & Global Business Services Town Halls, and others as needed.
  • Produces information and reports by transcribing, formatting, inputting, editing, retrieving, copying and transmitting text, data and graphics – for example, the quarterly Earnings Release Data Books used by CEO and CFO.
  • Conserves executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications
  • Maintains executive’s appointment schedule by planning and scheduling meetings and conferences, teleconferences and travel
  • Manage team logistics and calendars for meetings and conferences, including travel and catering as requested
  • Provides support as needed for the Investor Relations Team.  Examples include coordinating logistics for investor relations events including conferences, roadshows, and investor days; scheduling quarterly earnings and annual proxy season processes, testing and troubleshooting to ensure that virtual events run smoothly, responding to investor requests, etc.
  • Prepares reports by collecting and analyzing information
  • Provides historical reference by developing and utilizing filing and retrieval systems
  • Maintains office supplies inventory levels; anticipating needed supplies; evaluating new office products; placing and expediting orders; verifying receipts of supplies
  • Ensures operation of equipment by completing preventive maintenance requirements; calls for repairs
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies

Requirements

  • Typically requires Bachelor’s degree or at least 10 years’ experience supporting executive leaders
  • Experience managing multiple assignments/projects and conflicting priorities with the pressure of short, demanding deadlines in a fast paced environment
  • Ability to organize processes and people to meet deadlines
  • Ability to work independently and develop/follow complex, multi-step procedures to complete tasks
  • Willingness to be proactive and make recommendations to CFO and executive leadership
  • Basic accounting knowledge preferable
  • Proficient with Microsoft Office Suite
  • Maintain confidentiality as required and appropriate
  • Enjoys working in a team environment and comfortable assisting and standing in for peers and working across levels of the organization as needed
  • May require support for events and activities in the evenings and during weekends
