Executive Assistant to Management - Kempinski Asia Region


An energetic well-groomed, extremely well organized person who manages the administration, follow up items, documentation, schedules and travel related logistics as well as coordination between the Members of the Key Management Team.

Seeing an overseas educated Chinese with international understanding and appearance. A person ensuring total integrity and confidentiality considering the level of information dealt with.

His/her task is to assist the General Manager / Chief Operating officer on day to day tasks as well as in coordination with all members of the Key Management Team. Driving the master calendar for the office, meeting minutes for follow up and tracking of such (Collecting input for Monthly Reporting). Compilation of dossiers on current subjects and preparation of meeting documents for Management and KEY Board, Owner, Management or Departmental Meetings. Keeping record of key documents and implementation of a well-organized filing system as well as alerting on deadlines for regular submissions.

Key Responsibilities:


  • Manage and coordinate administrative task for all Key Management Team members.
  • Organize flights and schedules including the preparation of supporting Travel Authorizations and communication of travel details to all people involved.
  • Prepare meeting minutes and track follow through within Key Office.
  • Collect input for monthly management board report and key management meeting.
  • Prepare dossiers ahead of meetings and property visits with supporting documents.
  • Follow up on expense claims and wrapping of business trips after return.
  • Write and draft announcements for new positions, key updates and regional memos distributed from the COO/ General Manager Key.
  • Coordinate regular conference regional calls and assist in drafting relevant agendas.
  • Keep and update of the Owner database as well as key contact information of all General Managers, key people in the hotels and partners.
  • Compile presentations for meetings and collect necessary information.
  • Maintain close communication with all the Regional departments and well as corporate counterparts at the CEO, CFO office in Geneva as well as Beijing Tourism Group and affiliates.
  • Run the master calendar for the office and Key Management Team.
  • Perform additional tasks and duties as per business needs.

Desired Skills & Qualifications:

  • Hotel Management Degree or Certification
  • Bachelor Certification or Master
  • Experience in assisting Executive Teams
  • Experience can be also in other industries yet similar selection of tasks
  • Legal background or company management
  • Word and Excel
  • PowerPoint and similar
  • Social Media savvy
  • Basis analytical skills
  • Ability to work independently
  • Interpersonal and intercultural skills
  • Structured administrator
  • Must possess attention to detail, confidentiality, integrity, be reliable
  • Has the ability to maintain a high level of professionalism in a fast-paced dynamic environment
  • Ability to work and communicate in a multinational environment
  • English – excellent oral and written skills
  • Mandarin - excellent oral and written skills
  • Desired: Local and/or regional languages
  • Chinese Only
