Job Responsibilities:
Assistant to President, Godiva Greater China and Asia Pacific
Manage President, Greater China & Asia Pacific’s calendar, schedule travel arrangements; support with travel documentation and procedures.
Provide general administrative support to President, Greater China & Asia Pacific, including meeting minutes, reporting, translation, maintaining up-to-date contact database, document filing/reimbursement etc.
Devising and maintaining office systems, including data management and filing;
Screening phone calls, enquiries and requests, and handling them when appropriate; Dealing with incoming email, faxes and post, often corresponding on behalf of the President, Greater China & Asia Pacific;
Drafting and distributing office related note/announcement/correspondence for the President, Greater China & Asia Pacific, carrying out background research and presenting findings; Coordinate collection and preparation of business review reports, budget expenditures and statistical reports or performance data;
Maintain close contact with President, Greater China & Asia Pacific’s direct reports from across the region and elsewhere internally and externally as appropriate
Take control of the management of specific projects, as directed by President, Greater China & Asia Pacific
Collecting, creating, sharing, coordinating reports for President, Greater China & Asia Pacific
Coordinate other business activities related to GODIVA.
Adhoc tasks assigned by President, Greater China & Asia Pacific;
VIP’s Administrative
Schedules meetings for Global visits
Organizes and schedules large and complex activities such as board meetings, business travel, conferences, and department activities.
Acts as host and facilitator at meetings
Develops meeting agendas, takes and distributes minutes. Tracks action items.
Others
Plans, organizes and schedules own workload so that above activities are completed accurately and on time
Manages special projects and other related duties as requested
Position requires an intermediate to advanced knowledge of office methods and policies & procedures
Proactively manage a variety of ad hoc assignments, involving highly confidential information
Job Requirements:
Bachelor degree or above
Very good knowledge of MS Office applications (Excel, Word, especially Power Point presentation);
Should be eager to learn, flexible, open-minded and team-work oriented;
Proficient verbal written, presentation and communication skills in English
Good analytical skills and ability to perform detail work, proven problem-solving abilities with challenging deadlines and priorities;
Good Knowledge and understanding of the goals of the Company, ability to anticipate change and react efficiently and expeditiously;
Excellent interpersonal skills, demonstrated ability exercising tact and diplomacy
Self-motivated, ability to remain calm and focused under pressure and work within strict deadlines;
Maturity to handle multiple tasks and confidential issues / material as well as communicate effectively with others as appropriate.
Minimum of three years' Executive Assistant experience or equivalent
