岗位职责:
The candidate would be expected to be proactive and reflective, detail and deadline oriented, capable of process improvement and has strong networking skills to connect internal and external stakeholders.
Responsibilities:
Secretarial Tasks:
Screen telephone calls, enquiries and requests, and handling them correspondence when appropriate;
Meet and greet visitors at all levels of seniority;
Organise and maintain the Vice President’s diaries and making appointments;
Assist in time management and follow up for due dates
Deal with incoming email, faxes and post, may also need corresponding on behalf of the Vice President;
Arrange travel and accommodation for business trips;
Perform any other secretarial duties assigned by the Vice President.
Administrative Tasks:
Work as the coordinator for the university projects as assigned by Vice President;
Support the work of and projects led by the President’s Office;
Produce meeting minutes, briefing papers, reports and presentations as assigned;
Liaise internally with all departments/offices to provide information and advice, and forward inquires and messages to appropriate offices;
Liaise externally with government bodies and peers to acquire information and maintain relationship;
Organise and attend various committee meetings and ensuring the VP is well-prepared for meetings;
Draft reports and speeches for Vice President for various purposes and occasions;
Review documents on behalf of Vice President to give editing advices;
Support university level key events to ensure timely and high-quality of delivery;
Other tasks as signed by the Vice President and the Head of President’s Office.
Person specification:
1.
Bi-lingual (English and Chinese) with excellent written and spoken skills in both languages. A high standard of literacy.
2.
Attention to details in working on reports and correspondence including accurate typing and proof reading skills;
3.
Good interpersonal skills. Ability to deal effectively with a wide range of people, to work as part of a team, and to liaise with colleagues where work interests overlap.
4.
Dependability, reliability and ability to produce work of high quality.
5.
Ability to prioritize and organize duties in an efficient manner
Qualifications & experience
1.
Master degree in journalism, business, or education is preferred;
2.
At least 3 years work experience in related fields;
3.
Deep understanding of transnational education;
4.
Evidence of continued professional training, preferably in finance or accounting.
