Responsibilities:

• Maintain a seamless work environment through a solid understanding of the Corning network, key leaders, organizational understanding and protocol to help enable Division Vice President of Corporate Communications and the group to function efficiently and effectively.

• Provide administrative support to the Division Vice President of Corporate Communications. Individual must possess knowledge of company operations, policies, and procedures. Individual has access to information of a highly sensitive and critical nature and needs to assign an appropriate confidentiality status to materials and take action to ensure compliance, if appropriate. Contributions influence major work streams within the group.

• Individual must be a self-starter and capable of handling routine work with no instruction.

• Guidance is sought from leadership only when issues cross into other functional areas or have a broad impact. An understanding of practical applications to complex problems and situations ordinarily encountered is beneficial. Time management for Vice President and staff is required. Individual must also schedule workload to meet customer requirements in a timely manner, and needs to provide error-free results.

• Manage various SharePoint sites, maintain intranet information, global distribution and membership lists as well as financial data.

• Work closely with the leadership team in the planning and execution of events and meetings. This involves being the key player coordinating with a multitude of resources (Corporate Events, Catering, and Media Support), as well as external vendors (transportation, venues, etc.)

• Play a key role in planning department and staff meetings, department celebrations and activities and contributing to the overall atmosphere of the department.

• Mentors and leads administrative staff to advance office technologies, share best practices, ensure appropriate department coverage, collaborate on shared projects and create a supportive environment to work together effectively.

• Partner with Global Supply Management and Finance to process statements of work, purchased orders and expenses reports.

 

Position Requirements Include:

• Scheduling appointments, handling complex travel arrangements, screening calls and taking messages, coordinating division recognition activities and projects, maintaining business files that meet corporate records management requirements.

• Individual will collect and prepare information for use in discussions/meetings of executive staff and outside individuals.

• May prepare reports, graphs, and presentations using spreadsheet and graphic software.

• Acting as an information source on organization policies and procedures. Recommend changes in methods or procedures, and assists with development of new or revised policies and procedures for Corporate Communications.

• Contacts are frequent within and outside the organization. The individual will interface with Corning general managers and management committee for activities at external venues. External contacts involve obtaining or providing information on matters of moderate importance to the organization and may be of a sensitive nature.

 

Education requirements:

• Minimum: Business-school degree or associate’s degree from a community college.

• Preferred: four-year college degree.

 

Qualifications:

• Trustworthy with confidential data.

• Strong Computer skills in PowerPoint, Word, Excel, Outlook, Box, SharePoint.

• Flexible in work style and interaction with others – good team player.

• Strong administrative skills, attention to detail and focus on error-free work.

• Ability to handle fast paced, demanding environment.

• Good collaboration skills.

• Organized and able to prioritize work requirements.

• Strong communications skills – both written and oral – at all levels and with multi-national employees. This position represents the corporate communications function and must conduct themselves with utmost professionalism.
