You are a strong assistant who is articulate, personable, and detail-oriented along with above average organizational and prioritization skills and ability to regularly act independently, making significant decisions. You must be able to build relationships with employees at all levels throughout the organization, have a good business sense and the ability to handle sensitive situations in a mature and confidential manner. You will enable the smooth operation of the office under the pressure of frequent interruptions and changes in priorities. This role directly supports the SVP.
A day in the life:
Above average strength in maintaining smooth flow of executive life, managing personal and professional calendar, scheduling of meetings and events - Duties may include:
- keep up with the complex social and professional demands of executive and planning accordingly.
- keep track of the agenda, weekly Priority List, which includes all meetings, appointments, events, birthdays and anniversaries, etc.
- arrange for reservations of personal and professional events, travel plans and executive visits.
- deeply attuned to, and aware of, the executive’s strategic goals and objectives and supports with their achievement through sound judgment and decision making.
- responsible for ensuring all details have been secured for meetings (on-site and off-site) along with the executive having all pertinent materials required to conduct or attend their meetings, taking meeting minutes for follow-up.
- help manage time by more productively by summarizing detailed reports, helping write presentations, preparing and/or reviewing draft communications
- organize and coordinate regional meetings, summit, offsite, development days with leadership team.
- support SVP to organize and schedule his/her direct report’s on-boarding and townhall meeting.
- Provide general support for office management e.g. stationery & grocery replenishment, etc
Qualifications:
- Minimum 5 years experience as a personal assistant to highly visible, extremely busy leader (e.g. CEO, entrepreneur, performer)
- Exceptional communication skills - interaction with various executive levels including, but not limited to, Board Members, CEO and Executives internally and globally (a key liaison)
- Trustworthy – responsible for handling confidential and sensitive information
- Tech savvy - well versed in PPT, Word, social media
- Excellent business acumen and ability to exercise sound judgment and prioritization
- Extremely detailed and quality oriented.
- Able to observe and maintain the utmost confidentiality.
- Excellent written and oral skills in English: strong interpersonal relationship and communication skills.
- Ability to be resourceful and source details required to carry out tasks as assigned
- Ability to manage multiple projects under tight deadlines
- Ability to work effectively with multiple critical timelines.
- Tact, diplomacy, high energy and a sense of humor
- Personable and approachable at all times.
