Job Description

We are looking to hire an experienced and energetic Lead Executive Administrator to join the Office of the Corporate Vice President of Core Platform Engineering (CPE). We are looking for a passionate, motivated team player and leader, with a can-do attitude. The candidate must have superior attention to detail, the ability to meet tight deadlines, great organizational skills, and the ability to juggle multiple critical requests with little to no guidance and without having to know the total picture. A high level of discretion in handling confidential information, and professionalism in dealing with senior professionals inside and outside the company is a must. The candidate needs to be comfortable with working “out in front” of the team as well as behind the scenes. You will also develop a deep knowledge of the broad business group and act as a cross-group information resource.

Responsibilities

  • Manage day to day operations of the CVP office that includes teams spread geographically across the globe
  • Effectively utilize the CVP’s bandwidth thru calendar management and monitoring
  • Lead the development of the CPE Admin team, providing coaching/mentoring, sharing best practices, and helping with career development opportunities [Note: Though this is an IC role, we are looking for a leader who can coach other Admins and is comfortable leading without direct authority]
  • Assist the Business Management office with designing and implementing the Rhythm of the Business processes; preparing and/or coordinating internal and external engagements for the CVP; and communications as required
  • Collaborate and partner with Business Managers, admins, and LT members on projects and operational activities
  • Proactively plan and manage logistics for team meetings such as All Hands, staff meeting, morale events, team off sites and Holiday Party
  • Assist with developing and coordinating the annual budget, headcount, and PCN Management
  • Identify areas of improvement and lead streamlining of administrative policies across the org
  • Proactively lead office space management for CPE
  • Ensure smooth execution of the CVP’s travel schedules
  • Procure goods and services as required and keep track of expenses and invoices
  • Record, document and store critical meeting notes and action plans
  • Headcount Management - partner with business manager and global admins to manage group headcount information for team, space coordination, new employee setup, other processes and tasks for the organization
  • Close cooperation and partnership with the Business Manager, HR and business administrators and LT members on projects

 

Qualifications

  • 5+ years of demonstrated relevant work experience in a fast-paced and complex environment
  • Desire and ability to organize, motivate, and lead the admin community
  • Knowledge and proficiency with Microsoft products and internal systems including Outlook, Microsoft Office, Windows, MSS, HeadTrax, MyOrder, MSExpense preferred
  • Ability to self-direct and work independently, deal with ambiguity, and act with appropriate urgency and flexibility with a positive attitude
  • Ability to adapt to daily challenges and rapid changes
  • High level of effective interpersonal skills, excellent customer service approach, and ability to maintain effective working relationships and accommodate diverse working styles
  • Ability to understand the big picture and adjust direction accordingly
  • Possess a good sense of humor and an ability to connect with people inside and outside the team
  • Must be able to maintain confidentiality and use discretion and judgment
